Alternative to out of the box integration with Sharepoint

Hi,

I am implementing Customoer Engagement and focusing on Sales and Customer Service. I started with sales and now I find myself in a situation where I don't really know how to implement sharepoint integration.

The sharepoint I want to connect to consist of 3 separate sites, being that 1 is for the sales and marketing team, 1 for the service team and 1 for management.

Concerning Dynamics, I would like to integrate Quotes to the Sales site and Cases to the service team site and also I would like to avoid those automatically created folder because they get a huge and unfriendly name.

I already did some research but haven´t found very recent discussions on the subject.

What would you recommend?

    You're right to pause here, out-of-the-box SharePoint integration with Dynamics 365 Customer Engagement (CE) is functional, but it comes with several architectural limitations that don’t align well with your setup.
    Native Integration Limitations
    1. Single Site Limitation
      Dynamics CE supports only one root SharePoint site per environment. This simplifies setup but doesn’t support routing different entities (e.g., Quotes to Sales, Cases to Service) to separate sites.
    2. System-Generated Folder Names
      Folders are auto-created with GUIDs or concatenated names. It ensures consistency but can make folders harder to read and manage.
    3. No Direct Entity-to-Site Mapping
      Out-of-the-box, you can’t assign different entities to different SharePoint sites. All documents routed to the configured root site.
    What You Can Do Natively (with Limitations)
    • You could manually set up custom document locations using JavaScript or plugins, but that approach is brittle and hard to maintain.
    • Alternatively, manage everything under one site and use metadata for filtering—but that still doesn't solve the folder naming or separation concerns.
    Scalable, Modern Alternative
    A more flexible approach is using an extended integration tool like SharePoint Security Sync by Inogic, which:
    • Allows mapping of different entities to different SharePoint sites
      (e.g., Quotes → Sales site, Cases → Service site, Reports → Management site).
    • Supports custom folder naming conventions, so folders are clean, readable, and aligned with your business context (e.g., Quote-12345, not guid12345).
    • Automatically handles document location creation, avoiding manual setup or scripting.
    • Keeps SharePoint security in sync with Dynamics—so only the right team members see the right documents, even across sites.
    Recommendation
    For your scenario, where:
    • Sales, Service, and Management each use separate SharePoint sites
    • You want to integrate specific entities to specific sites
    • You need custom folder structures
    ...a native-only approach will become cumbersome fast. Extending integration using a purpose-built solution like SharePoint Security Sync is the most efficient and maintainable path forward.
