Project management and accounting - Item requirements button

Good day

I am working on an Investment project project, but why is it that the Item requirements button is only available on the Projects Grid rather than on the individual Project form?

    Hi Hannes Strydom,

    An item requirement creates an internal 'sales order' with the type item requirement. If you don't have a customer associated with your project - such as for your investment project - this feature should not work. Have you tried clicking on the item requirement button in the form where it is active?

    If so, did you get any message?

    Thanks for the reply. As per your comment, I have noted that:

    1) I did need to first create a Customer entry (similarly named as the legal entity I am working in) for the Investment project to be able to do Item requirements;

    2) If I click on the item requirements button on the main grid (which is active), I have visibility of the items I used on the WBS - this I assume is because I clicked on Transfer from WBS estimates AND from the Item forecasts form where one can copy to Item Journal or Item requirements.

    What is actually the correct process to follow for an Investment project's WBS activities to become capitalized, except for posting Hour, Item and Expense journals? Like Item requirements where a picking list can be used, etc and then become delivery noted etc. I have worked through your notes on (dynamicsax-fico.com/.../construction-in-progress-project-module) - which were especially helpful for Estimates and Elimination.

    Hello Hannes,

    Sorry for the late response.

    Here some comments:

    @1: You can't link a customer / project contract to an investment project. For that reason, item requirements are in general not available for investment type projects. I double checked that on a more recent D365 demo machine where the item requirement button is in General not available / active.

    @2: I followed the same transfer process in D365 and did not get the item requirements button activated no matter what I tried. I thus believe that the active item requirement button at the main project level is something that is not correct (Buggy)

    Regarding your process question for investment projects and how to get WBS activities to become capitalized, can you elaborate a bit on that?

    The WBS is a 'plan' and AX activates only 'actual' posted transactions / costs.

    Is it that you only want to have those costs that are included in your WBS capitalized? If so, how do you know the exact costs that are capitalized already from the beginning when you plan your Project in the WBS?

    @WBS capitalized:

    a) We use the WBS functionality to enable the creation and maintenance of several template "recipes" - these recipes each contain some labour hours (artisan x10h of position Artisan) and some Items (certain Items with Item numbers which are drawn from stores).

    b) In each project we also want to include Purchase orders where ad-hoc 3rd party labour and installations are procured and be accounted for.

    c) It would have been nice to journalise or invoice these recipies' WBS contents, including the POs linked and therefore my question on how do we invoice the WBS contents. Is it possible to draw the WBS template into Hour- and Item journals? I have seen that the activity nrs are available on posting journals but for now I am only able to go and do Item journals by adding each item line for line instead of bulk importing the WBS specified items?

    @"If so, how do you know the exact costs that are capitalized already from the beginning when you plan your Project in the WBS?" - we know which Items will be used, we know what labour will be done by which workers and therefore we know the recipe. When I capitalise the project, the Item numbers will draw the costs from AX and the workers used under the Item lines will have cost prices which will validate against the date?

    I trust this makes sense?

    Hi Hannes,

    Thank you for this information.

    I can see your point and the necessity to create WBS positions, transfer them to the item requirement and to create PO's from there that are later on capitalized.

    The thing is that the standard application cannot handle this without making a system modification.

    You could possibly make use of a workaround and set up a main investment type project with a T&M project where you record your WBS, purchase your stuff, etc. Once everthing is finished you would need to transfer all costs through the adjustment functionality to the investment type project that you use for recording the capitalization posting.

    Even though this is possible, I would suggest that you talk to a developer and whether he can make an adjustment for you. Otherwise, the workload and process flow might be a bit too 'heavy'. As the item requirement functionality creates only an internal item-requirement type sales order, the adjustment should not be very large and I would probably go this way rather than trying to make use of a workaround. Probably discuss this internally with your colleagues first
