SharePoint integratie met dynamics

We werken al met SharePoint en hebben per klant(account) een site gemaakt met daaronder een aantal bibliotheken.

Hoe koppel is die nu aan mijn account in Dynamics.

Dus dat elk account is gekoppeld en zijn / haar eigen site

    Dynamics 365 CRM biedt inderdaad een native integratie met SharePoint, wat in jouw situatie goed van pas kan komen. Je kunt SharePoint-documentbibliotheken koppelen aan CRM-entiteiten zoals Accounts, en automatisch een map laten aanmaken voor elk account om gerelateerde documenten in op te slaan. Deze aanpak vereenvoudigt het documentbeheer en voorkomt dat je handmatig voor elke klant een aparte SharePoint-site hoeft aan te maken.
    Wel is het goed om te weten dat de native integratie de beveiligingsrollen en machtigingen niet overneemt van Dynamics naar SharePoint. Dit betekent dat gebruikers die toegang hebben tot een record in CRM, mogelijk ook toegang krijgen tot gerelateerde documenten in SharePoint—zelfs als dat eigenlijk niet de bedoeling is—omdat machtigingen in beide systemen afzonderlijk worden beheerd.
    Als het behouden van consistente toegangsrechten belangrijk is voor jouw organisatie, zijn er aanvullende tools beschikbaar die de beveiligingsrechten van Dynamics 365 synchroniseren met SharePoint. Een van die opties is SharePoint Security Sync, waarmee de gebruikersrechten tussen beide platforms worden afgestemd. Deze oplossing ondersteunt ook het synchroniseren van metadata en het opzetten van mappenstructuren. Het kan het overwegen waard zijn als toegangsbeheer een aandachtspunt is in jullie omgeving.

    Dynamics 365 CRM does offer native integration with SharePoint, which can help in your scenario. You can associate SharePoint document libraries with CRM entities such as Accounts, and automatically create a folder for each account to store related documents. This setup can simplify document management and avoid the need to manually create SharePoint sites per customer.
    That said, one thing to be aware of with the native integration is that it doesn’t carry over the security roles and permissions from Dynamics to SharePoint. So users who have access to a record in CRM may also get access to related documents in SharePoint—even if that’s not intended—since permissions are managed separately in both systems.
    If maintaining consistent access control is important for your organization, there are add-on tools available that sync Dynamics 365 security privileges to SharePoint. One such option is SharePoint Security Sync, which aligns user access between the two platforms and also supports metadata sync and folder structuring. It might be worth exploring if access management is a concern in your setup.

    Hi Henk,

    To integrate SharePoint with Dynamics 365 so that each account is linked to its own SharePoint site, you can follow these steps:

    1. Enable SharePoint Integration:

      • Go to Settings > Document Management in Dynamics 365.
      • Click Enable Server-Based SharePoint Integration and follow the setup wizard.

    2. Configure Document Management Settings:

      • Set up Entity-based document management for the Account entity.
      • Choose the folder structure: typically, you can use Account Name or Account ID to create unique folders/sites.

    3. Custom Site Linking:

      • If you already have separate SharePoint sites per account, you may need a custom field in Dynamics to store the SharePoint URL.
      • Use Power Automate or a plugin to populate this field when a new account is created or updated.

    4. Access from Dynamics:

      • Once linked, users can access the SharePoint documents directly from the Account record in Dynamics via the Documents tab.
