How can I print an invoice that will show partial payments applied?

    What report are you trying to print? Or are you trying to create a smartlist?

    So we contacted Dynamics GP and worked with an engineer who said they never had this request before and that they knew of no process to do this which seems odd to me.  She actually determined it’s not possible at all to actually print out posted invoices and show any payments made on them because you can’t make changes to currently posted invoices.  So what was brainstormed to do was to actually fake recreate the invoices again and just put a period at the end of the invoice number to make it not appear as a duplicate. We had to manually retype and recreate all of those individual invoices that had payments made to them.   We created them in a Test batch and just didn’t post the “fake recreated” invoices so they wouldn’t be linked to that customers account.  Since the original invoices are already aware of the payments made to them within the system.  So this isn’t a simple step by step process to create in a process document….this is a lot of manual work to do these. I am still surprised that this is how it would need to be done!

    We know how to print the reports showing open invoices and payments, I was just looking to print the individual invoices with payments already applied to send to customers as some have multiple invoices that they pay partial amounts on.

    Hi Karen,

    You are trying to reprint a posted invoice and if possible to add the payments that were applied to the invoices correct? Do you always have to do this?  You might be looking at a custom report.  We can discuss if you would like and see what other options you may have?

    Hi Karen,

    You're talking about 'Customers' so I assume you're looking for historical Sales transactions, posted invoiced and applied payments to the invoices..

    You should take a look at the customer statements, as this will print you a report with historical & open invoices, plus all the applied payments, and the outstanding amounts.

    Sales >> Routines >> Statements

    See from the help: 

    Use the Print Receivables Statements window to set up and print customer statements. You should assess finance charges, enter and post transactions, enter and post payments, and age customer accounts before printing statements using this window. See Aging customer accounts and Assessing finance charges for more information.

    To print statements only for customers with monthly statement cycles, choose by Statement Cycle from the Ranges sort-by list and select from Monthly to Monthly for the range of statement cycles. To set up a special statement form customized to meet your business' needs, modify the default statement form using Report Writer.

    You can even e-mail the statements to the customers on a monthly basis or as requested.

    SOP Invoices can be reprinted any time for the customers, and there are some valuable SQL views that you can use for free from  Victoria Yudin to build  some Excel reports or SmartLists (if you're licensed for SMartList Designer or own SmartList Builder from eOne).
