How to copy Production data to Sandbox in CRM 2015 Online properly?

Hi everyone, I recently copied Production instance over to Sandbox and now we are at 90% storage capacity. (Budgeting reasons, we cannot add more storage)

Unfortunately, we were not able to restore data from a certain time, instead it copies ALL of the data from the very beginning. 

Now I have to manually erase data from Sandbox - keeping only data from the last two years.  I had some issues since I was using Bulk Deletion and it was creating records for all the delete activity increasing the Sandbox database size larger than Production! This is because it creates a record whether the record deletion failed or succeeded.

Since then, I've restored Sandbox once more and hope to receive proper instructions on how to delete data allowing me to keep just the last two years in Sandbox. 

The entity records I deleted were:

  • Orders
  • Order Products
  • Invoice
  • Quotes
  • Emails
  • Plug In Trace Log
  • Exceptions (System Jobs)

Anything else I can delete and is there a particular order for which certain entity is deleted? For example, I received association errors when attempting to delete orders.

    Hi Tek,

    I recently cleared over 10GB by just clearing Down the Completed and Suspended Workflow System Jobs by going to ;

    Settings > Data Management > Bulk Record Deletion

    Click New and Create a Query on System Jobs to clear down

    You can Also clear down Attachments from Notes etc which can take up significant space
