Team security set-up - tips & advice

Hello there,

New to Dynamics 365 Marketing and would really appreciate some tips and advice on setting up security/teams to facilitate collaboration and ensure efficiency :)

Context:

In our organisation we have different departments/teams.

Contacts overlap across teams, therefore the same contact could be relevant to different teams for different purposes.

We have chosen to give access to all contacts & accounts to all CRM users in our organisation (to avoid the creation of duplicate contacts) but we need to manage communication, marketing and event activities at Team level. We therefore require owner teams for marketing related entities such as segments, journeys, events, e-mails, forms, pages etc.

Our CRM users have different roles. Some should only have 'read' privileges on specific entities while others need 'create', 'read' and 'write' privileges on specific entities. Some roles have access at team level only, while others have business unit level access.

In short - our concept set-up:

  • We assigned each individual user relevant roles.
  • We created owner teams for each department in which their marketing & communication activities can be 'owned'.
  • We assigned relevant users to each team.

The issue:

Because an owner team also needs to have a role assigned to it (if I'm correct with at minimum 'write' privileges on all entities that will be owned by the team), individual user roles are superseded. For example, if a user only has 'read' privileges according to their own role - they will now also be able to 'write' because they belong to the team.

So, if you belong to a team - you will never be able to block writing access on any entities that team owns for example updating marketing pages etc?

Thanks so much for letting me know if I'm missing something or if there is an easier way to set-up security to manage Team based marketing activities without giving everyone 'write' access to all related entities.

    It seems that your issue is not very relevant to the marketing app, but rather to some basic concepts in dynamics.
