How Does the "Run Report" Feature Work in Field Service?

I was trying to understand how the "Run Report" function works in Field Service. I’ve gathered that it’s different from the custom report feature (covered in this guide: https://learn.microsoft.com/it-it/dynamics365/guidance/resources/field-service-service-reports-solution). So, how do you use it, and what’s its purpose? I’d like to learn more, does anyone have experience with it?

In Dynamics 365 Field Service, the "Run Report" feature allows users to generate printable reports directly from records such as Work Orders, Bookings, or Assets. These reports are usually generated using SSRS (SQL Server Reporting Services) and can include details like job history, service tasks, parts used, and customer signatures

🔹 1. Where You Find It
The "Run Report" button is available on record forms (like Work Order, Booking, etc.).
Navigate to a record → click the ellipsis (...) menu or the command bar → select Run Report → choose from the list of available reports

thanks for your response! I found the "Run Report" button, but it says I don’t have any reports available. Do you know how I can create one for work orders or similar tasks? Appreciate any help!

    Hi SM-15071027-0,

Great question! The "Run Report" feature in Dynamics 365 Field Service is indeed distinct from custom reporting solutions and serves a specific operational purpose.

Here's how it works and what it's for:

    1. Purpose of "Run Report"

The "Run Report" function is typically used to generate predefined reports related to work orders, service activities, or other Field Service entities. These reports are often used for:

    • Technician summaries
    • Customer-facing service reports
    • Internal documentation or compliance

    2. How to Use It

    • Navigate to a record (e.g., a Work Order).
    • Click on the "Run Report" button in the command bar.
    • Select from the list of available reports (e.g., Work Order Summary, Service Report).
    • The system will generate a report using SQL Server Reporting Services (SSRS) or Power BI, depending on your configuration.

    3. Customization

While the built-in reports are limited, you can:

    • Customize existing SSRS reports using Visual Studio.
    • Add new reports to the system and register them under the Reports area in the Settings module.

    4. Difference from Custom Report Feature

The custom report feature (as described in the guide you linked) is more flexible and often used for Power Apps-based or Power BI-driven reporting, which can be embedded or shared externally.

Let me know if you'd like help customizing a report or integrating Power BI into your Field Service setup.

    Best regards,
    Daniele
