Remaining hours is not getting updated correctly under Tracking tab

I have one scenario:

1. I have added a task by name Task1 under schedule tab of 8 hours.

2. I have assigned a resource for this Task1 for 8 hours.

3. In resource assignment tab i can see 8 hour allocated.

4. Now resource has worked for 4 hours and has got approval for 4 hours.

5. Now tracking tab shows correctly where Effort hours = 8 , Remaining hours = 4 , Progress = 50% , Actual hours = 4 , Efforts estimate at complete (EAC) = 8 , schedule variance = 0.

6. Now i am going in Resource Assignment tab and i update 2 hours for same Task = Task1

7. Now when i do refresh in schedule tab , i updates it to 2 hours for Task1.

But i am facing issues for Tracking Tab , it is updating remaining hours wrongly as given below

Tracking tab : Efforts = 2 , Remaining hours = 4 , Progress = 50%, Actual hours = 4 , Efforts estimate at complete (EAC) = 8 , schedule variance = -6

Can anyone suggest why remaining hours is not updating to 0 as i have already approved time entry for 4 hours?

I have already done refreshing so many times

I have the same question (0)

I think that you should update your task not your resource assignment. Assignment records should ideally not be updated directly. PSA automatically updates the assignment when you update your task. And hopefully this will work fine then. I hope this helps.

Even if i update hours through task then also it is not updating remaining hours correctly. Ideally it should become 2 because efforts has been updated to 2. I know it may happen very rarely  but still we got a question from customer.

Efforts has been updated to 2 but remaining hours didn't change

    Tracking tab : Efforts = 2 , Remaining hours = 4 , Progress = 50%, Actual hours = 4 , Efforts estimate at complete (EAC) = 8 , schedule variance = -6

Effort is used for planned effort aka budget aka estimate.

The system assumes that in the scenario you described the project manager must reassess and update Remaining Hours manually. The situation (planned effort) has changed and people involved need to reassess how many remaining hours there are. The approach in PSA assumes that we regularly reassess remaining hours.

The standard system behaviour you described makes sense to me. But this and similar behaviours must be better documented in Microsoft Docs as they may not seem intuitive to many people.

Please bear in mind that Remaining Hours is updated automatically when Actual Hours change and can also be updated manually by PM when she gets an updated status from team members, she changes the definition of Done and in other scenarios.

Various scenarios are possible and handled. You can quite easily imagine a scenario (with a big overrun) where Effort is 8, Actual Hours are 24 and Remaining Hours are 40 (set by PM).

There is one behaviour related to manual changes in Remaining Hours that I do not like though. When PM manually updates the field and later approves new time entries, his manually entered Remaining Hours get overwritten by the system based on Effort and Actual Hours.

Version 2 had a feature where the resource herself could directly update Remaining Hours (for her assignment only). This was not updating the data on Tracking on Project but PM could use it in his calculations.

    Thanks Matthew.

At the end i can consider that if such scenario happens where project manager reduces the effort then renaming hours also we have to update manually.

    Thanks for your quick response.

Can you answer my one more query given below :

I have attached one screenshot below and have highlighted percentage. Could you please tell me how this percentage gets calculated . This we can see on resource utilization board. 0% calculation i know how its gets calculated but wanted to know about highlighted part calculation.

    I am glad I could help :-)

Below is the information on utilisation calculations I have.

But please bear in mind that people have reported issues with utilisation calculations.

    - Resource Utilization shows what has happened in the past. I.e. approved time entries.

    - Target Utilization must be set for a resource.

    - Project Contract must exist and have a Time and Material line (FP not working for utilization is a bug which will be fixed at some point in future releases). John Borrows - FP cost actuals with billing type = chargeable will be included in the chargeable utilization calc in V3.

    - Role is to be Chargeable and thus billing type must be Chargeable at time entry approval.

    - Default role must be set for a resource. This is mandatory for both D365 as well as for the PowerBI solution templates.

    - Additionally, the resource must have approved, chargeable time within the time period of the grid for them to show any utilization.

The following formulas are used in utilization calculations:

Billable utilization = Chargeable actual hours / Resource capacity

Non-billable utilization= Actual time with billing type id = Non-chargeable, Complementary or Not available) / Resource capacity

Internal = Actual time with no sales contract / Resource capacity

Resource capacity = Resource work hours – out of office – Non-working days

Green: billable utilization >= resource target utilization

Yellow: target utilization – 20 <= billable utilization < target utilization

Red: billable utilization < target utilization – 20

The resource utilization view is based on the Schedule Board, so you can use the filtering capabilities of Schedule Board to filter your results.

    Thanks for the deep explanation.

But how that 35% gets calculated.

0% calculation will be coming through the formula which you mentioned but how this overall 35% is getting calculated? what is the formula for that

If I remember corectly 35% is the 'target utlisation' specified on the resource record or on the default resource role for that resource.
