List of assets per book missing after import.

Posted on 20 May 2022 13:31:59 by 75,730

I just imported thousands of assets into a new book. I can see them under card->fixed assets->Books. However, when I run the Fixed Asset Books Smartlist they do not appear.  I have discovered if I pull up an asset in the book and click the Save button they will appear. What am I missing when doing the import? I see an Active flag is 'N' after the import which switches to 'Y' afterwards. Is that the trick? I do not see an active flag in the book import template. Is this something I need to do with a script?

I just checked the FA00200 table and there are only 7 records in there for the book I imported. The macro ran for 2 1/2 hours. Where did all those records go if not into the FA00200 table. At the very end I do get some message about window not closing. Could the importing of these assets be getting rolled back? The records come out of a spreadsheet. How do I insure there are not blank records at the end?

I am following the Book Import Template. The first column is  called Window Identifier and that has BOOK as a value in all rows. The fourth column is called BOOK ID and that has the value of the new book in all rows. After the book import macro runs I can see the assets under Cards->Book but until I pull one up and click Saved the active flag is N and they do not appear in Smartlists. I must be missing something. What can I do with the import file to get these assets to be flag as Active? Can I  do something afterwards to get them to be marked as Active? I am going to check the FA00200 – Book Master table to see if I can do a mass update of the Active flag.

You would only want it marked if you do not plan on importing book information. If you do plan on importing book information you want it unmarked (so that way you can specify the book info in the import)

According to the instructions for using the FA Import/Export tool it says to uncheck the Auto Create Book checkbox so that is what I did. I am doing this in test so I will run the import next time with that box checked.

RE: List of assets per book missing after import.

When you go to the asset book window do you see an ITC\Cost adjustment button or a Distribution button? If you see a distribution button after pulling up the asset\book then the record is not saved.

When you ran your import, was it with the Import\Export tool or was it with EConnect\ IM with the EConnect adapter.

If you where using the import\export tool the book *should* be created automatically if you have the auto add book option marked on the book setup as well in the company setup. If either is disabled (if you are importing books as well then you would want it disabled) then it would not auto create the book record unless your import file also included the book import records (Window Identifier = BOOK lines), usually done in a second import file
