Issue with unsharing views and dashboards

Posted on by 550

Hi together,

There's a strange problem and I absolutely don't know how to handle this.

I shared personal views and dashboards to a user. As this user doesn't need these views and dashboards anymore I unshared the view.

What I did: Advanced View --> Saved Views --> Share Button --> Marked the User --> "Remove selected item" --> "Share"

After this I unshared the dashboards.

So, I think, this is the correct way to unshare, but the user still sees the views (and dashboards).

I checked with the help of XRMToolBox if he's got a personal view that has the same name  ->  negative.

I let him send the link to the view and I compared this view and the view I unshared with him --> same IDs.

Does anybody has an idea what I could do?

Best regards

Mick

    Hi Bipin,

    thanks for your answer.

I think, I'm going to do some tests with some users.

    Hi James,

    thanks for your reply.

With the screenshot I justed wanted to show or clarify, which share-button I was talking about.

To your idea with the shared view from another person: that's a good idea. On the other hand, the other user did not have the access/right to share the view.

I tried to get some information by fetchxml to see, who shared which view with whom, but the Principalobjectaccess entity does not give me enough information. That would be the nicest way to find that out.

    Best regards

I would also check if the view and dashboard could be shared with a team that user is included

    Hi,

Can you try to share view/dashboard to any other user then check if he/she has access to he views/dashboard. Now try removing the access and thencheck if he/she still has access?

above step is to just check if issue is happening with all user or some specific user only.

If this does not work then you can log support ticket with Microsoft.

    Hi Mick

Thanks for clarifying. In the screen shot, there is a user. Is this the affected user or another user that still requires the view to be shared?

Selecting the line and clicking remove selected line will take that user off of the share list. If you untick every box (so they have no permissions), this has the same affect once share is clicked. Either method should stop the user from being able to see the view. I had to double check as while there is documentation on how to share, there doesn't appear to be any official guidance on how to remove that share.

The only thing I can think of is that another user has shared the view with this particular user so they can still access it because of the permissions granted by the other user. Unfortunately, there isn't an out of the box way to see who has shared what.

    Hey James,

    thanks for your response.

I think there was a misunderstanding.

I deleted all options (read, write, etc.), deleted the user and clicked on the share button.

    Something like this...:

    Hi Mick

If I have read this correctly, you have unticked the "Share" option against this user? This is the permission for that user to share the view with other users, so removing it just removes the ability for that user to share the view. If you no longer want the user to see the view (or dashboard), you need to remove the read permission. It would be good practice to remove all permissions (read, write, assign, share, etc) if there is no need for the user to have access.

    Hope this is useful

    James
