Approvals workflow to create GL Accounts

Is there a way in AX2012 R2 to have a workflow for creation of GL Accounts. I basically need to set up a simple approval workflow when someone - who has the permission to create a GL Account - attempts to create a new account.

    Thanks Venkatesh! This is very helpful! I'm not an AX developer but I'm sure with what you provided an AX developer would know how to tackle this. If you can think of any other details that would help me please let me know.

    Have you done a workflow customization for creation of GL Accounts?

    • For many entities I got chance to develop customized workflows. But for this entity i.e. GL Account Creation, I never got a chance to develop a customized workflow.

    do you know what's involved?

    • Irrespective of what entity it is, a customized workflow is developed almost in same way. Only thing that is changed is the Table on which it operates.

    • For GL Account creation you possibly need to create a new table let's say MainAccountRequests and you need to operate your workflow on that, after it is approved, it will create main account inside actual table.

    • Otherwise you have to face a lot of trouble to control ‘non-approved GL Accounts’.

    • If there is some functional way to put main account on hold, you can operate workflow directly on MainAccount Table also

    You need to have developer for this.

    Hi Farokh,

    we did a similar workflow customization for Ledger account master in AX 2009. What we did was

    1. User creates a new GL account and other details. GL account will be by default "Closed" and added a workflow status field. Closed field was used so users will not use the GL account until account is fully approved. Until approved, this new account will also not shown in lookups etc.

    2. User submits the new GL account for workflow approval.

    3. Approver approves/rejects for changes. Upon final approval, the GL account is opened and workflow status is set to "Approved".

    i believe similar steps can be followed in AX 2012.

    Thanks Sohaib. Have you done a workflow customization for creation of GL Accounts? do you know what's involved? We have already secured the creation of the GL Accounts but we need to create t a workflow around it for audit purposes.

    1) there is no workflow for GL Account Creation, in Standard AX. it needs customization

    2) You can control this by security that a specific role should has GL Account Creation permission only. All you can do is to create a new Privilege, and assign menus for GL Account creation. Now run the Security development tool and  remove 'GL Account creation' permission by changing it to read only, for each role. Assign newly created Privilege to anyone as per need.
