nice and very simple to use suggestion of tharanga.
to simplify the usage of the created pdf documents in NAV, you can add (automatically) a record link per doc. after creating. the docs are then displayed in system part "RecordLinks", it has title Links in the page.
to use the links on each client, you should create a file share for the server folder and link the created pdf doc. then like "\\pdf-share\sales-order-12345.pdf.
to check, which kind of document it is, use the document type and the document no. as part of the file name, especially when using the pdf documents outside NAV.
You can save them in a particular location and ask him to check the output at that path.
You can run the reports using batch job
My client want to save some reports and view them later when he is free. He does not use NAV much and he does not want to wait till report generating complete. Also he want to share few reports with other users who do not have user licenses to access NAV.
We had a similar request from a client. His request was in every morning one person runs the all the sales statistics reports of day before and then save it in a common location as a PDF file. Then allow authorized users to access the files. Reason to have that was they have some users who does not use NAV but they required sales reports for their work.
Raokman He didn't ask how to share some of reports, as you said. For this reason, there are a lot of possibilities. DushanWishwa ask how to archive all started reports by each user. Because of that, I asked why you need it. If your reason is the main, I can give him some recommendation. But I don't know his reasons.
One reason might be to be able to share the reports with someone without ready access to NAV. If there is a weekly sales meeting with salespeople without NAV access, it might be nice to be able to forward them .pdf versions of NAV reports before the meeting so that everyone is on the same page around the table.
Similarly, executives who don't want to learn filters and other NAV minutiae, just want to see a report, not run it themselves.
Plus, it's nice to see a static result, especially if you're trying to reconcile a never-closed ledger.
Only problem is the same as with linking documents anywhere in NAV: it sounds simple when you say something like "to just enter the folder and path information", but that actually takes a lot of time, navigating, typing, and searching, especially if you're trying to do it for a lot of documents, be they reports, invoices, or W-9's.
First question, why you need it? Your users can run all reports thousands and thousands time per day. It will destroy your system performance.
What is your final target. Maybe it is possible to do it on some other way.
Sorry for my question, but I always ask "why" all my clients, when they want something.
You cannot do this in default NAV. However you can do this with a customization.
1. Create a table to hold the file paths and report filter data.
2. Create a folder in the server hard drive to save the generated reports.
3. At the time of report generation save a PDF copy of the report to the created folder and then insert the folder path and related details to the table.
By doing this you can create a report library.
