Time and material projects

When managing time and material projects we can create a WBS, define the tasks for the project and create the estimates for each line. We can estimate hours, expenses, items and also fees. Planning at the project and estimating the costs becomes useful to import costs and revenues into the project budget. Of course, we can make our budget manually other import from other sources. At this point it makes sense for me, estimates are splitted into costs and revenues using the the imported transaction types we manage in the WBS estimates..

Fixed price projects

For this type of project I don't see how to control revenues using the budget functionality.

If I follow the same steps above (create the WBS estimates and import them into the budget for example) it imports hours, expenses and items for both cost and revenues.

- For revenues does it also. Does it have any sense?  In FP projects we will invoice on-account transactions and they are not related.

- Why can't we make the follow up of on account transactions in the budget?

- If possible, how can we control the revenues for this type of projects and have a photo of what was budgeted in these projects?

- Why is not the same design used in the project quotations. In project quotations, if we want to make the follow up to estimates or totals we need to use fees unless we want to loss this info. Why can we use fees in project quotations and not in project budgets?

    Thank you for your feedback.

    You are right that budget lines for fee revenues are not possible for fixed price projects.

    From what you write I feel that you are actually not looking for a budget but rather for a change tracking and approval functionality.

    Would the alert function help in this case by alerting managers whenever a new on-account element is created?

    Alternatively, I could think of using the funding limit functionality available at the project contract level and adding an alert if changes are made to the project contract.

    These are no approvals or workflow features but they would at least allow you tracking if changes have been made.

    If those features do not work out for you, I believe that you might need a system modification.

    Thank you for your help!

    The main reasons I look forward registering revenues in the budget for fixed price projects is:

    - Having a place where I can store the project budget and it's situation, not only for costs but for revenues. This way if for any reason the scope of the project changes, we might also modify the on-account transactions (usually increase -without having to create a subproject) have a version and an explanation for the new version (track changes).

    - Use workflow for approvals and notifications.

    Really is not only about revenue control as you can see.

    I know we can create estimates, and different estimate models in order to manage somehow this requirements but I wanted to be sure there was not any workaround or KB that could help us achieve this. Also understand why MSF when creating a quotation for a FP project asks to use fees to record the incomes and in budgets the same functionality does not exist.

    Hi,

    Why do you need a budget control for revenues when working with a fixed price project?

    Setting up a fixed price project implies that the revenue is fixed and as a result no budget control is required because the revenue does not fluctuate.

    There is a revenue accrual posted for fixed price projects, which is realized through the estimate functionality. This feature and the tracking view forms help you checking how your project performs.

    Hi Gorka,

    The fixed price project is not working with invoiceable transactions like T&M. When you create a quotation, it is not known what type of project will be used. So, for this reason, you can use some transactions on the quotation, but not the fixed price project. Using fixed price projects, you can use the estimation and elimination features for monitoring the progress.
