Changing the Owner of a Lead that is Auto-Generated from a Form Response

Hello - for D365 Marketing our Company was on version V 1.35.50580 and recently installed these updates:V 1.35.10041.2038 & V 1.35.10057.1054. Prior to the upgrade any Leads that were auto-generated as a result of a Marketing Form response had "System" listed as the "Created by" name and the "Owner" of the lead. After the upgrade it appears the auto-generated Lead is still "created by" "System" but the "owner" of this lead is now whoever is the Owner of the Marketing Form. After reviewing Microsoft's documentation I did not find that there were any changes made to this functionality - has anyone else experienced this issue? Ideally I would want the behavior to revert back so the "created by" and "owner" of the auto-generated leads are both "System" as the "Owner" of the Marketing Form should not be the "Owner" of the Lead. Any recommendations or feedback on this?

Thanks,

Mary

    Hi Joseph,

I would think that Lead "owner" is a lookup field and my understanding is currently lookup fields are not supported on Marketing Forms. Also, not all Form Fields can be hidden - my understanding was only single line of text and two-option field types can be hidden. The workflow may be an option but we are hoping to not have to customize this - rather it would be an out-of-the-box option to select how the Owner of an auto-created Lead from a form submission is set. At this point I'll submit this as a proposed idea.

    Thanks,

    Mary

    Hi Mary,

A solution to your problem may be creating the following:

    - A hidden field on the marketing form that is mapped to the lead form and having a default value.

    - A workflow that triggers on create of a lead and that checks if the field is filled, it reassigns the Lead to the SYSTEM (or static ADMIN) user.

If this resolves your query then please mark this as verified!!

This is also an issue that we have come across and would like a solution to.

There seems to be no way (or at least no simple way) to reassign the owner of a live form and as a result all leads are being assigned to specific users who aren't actually supposed to be picking them up.

Hi - appreciate the note and how to update the owner of a Lead once created. The change in behavior I noticed was that the "Owner" automatically assigned to the auto-generated Lead (from a Form Response) appeared to change from System to whoever was the Owner of that Marketing Form. I do not see anywhere in the Marketing Forms area of how to indicate who the Owner of the auto-generated Lead should be. I have seen this type of functionality in other areas of D365 Marketing, such as, in User Journeys indicating who an Activity should be assigned to. But I don't understand why the behavior of auto-generated leads from Forms changed or how to change it back so the "Owner" is the generic "System" label.

You can change ownership of records like a lead with the Assign function which you can find on top of each page
