Hi all,

I have been loading agreements into our field service and im looking to include some gate codes so our staff can see this info when allocated the work.

Where is the best place to put this site specific info so that it constantly pulls through on every booking?

thanks

    Site specific info

The best place to put site-specific information like gate codes would be in a field that is consistently associated with the client or location in your field service management system. Here are a couple of options depending on your software setup:
    1. **Client or Location Notes Field**:

Many field service systems have a "notes" or "comments" field tied to a specific client or location. If you enter the gate code here, it can automatically pull into every job or booking associated with that client or site.

    2. **Custom Fields**:

If your system allows, you can create a custom field for "Gate Codes" or "Site Access Info" tied to each client or location profile. This ensures the information is standardized and visible for every booking related to that site.

    3. **Job Instructions or Special Instructions Section**:

Some systems have a section for special instructions for the service team. You could automate pulling the gate code into the job instructions field every time a booking is created.
This way, the information is automatically included whenever work is allocated to staff, ensuring they always have the necessary site access details.

Sounds like some customization is needed to fit the bill.

Accounts have a field called Work Order Instructions but I agree that the Functional Location table should have that field as well.

So I can think of two options:

    OOB

--use the Work Order Instructions field on the account and define specific instructions for each FL

    Custom

--add new Work Order Instructions field to Functional Location table

--customize forms for entering the data and viewing the data

Add it to the Agreement Booking Setup record:

Thanks for the response. the service accounts with multiple functional locations how do we differentiate between the locations. I presume the method above only works for one site clients not multiple site clients?

    Hi.

You can use the work order instruction from the service account. It will copy from the account to each work order.
