Why is lookup field not shown in Associated Views?

Hi Everyone,

I have a question relating lookup-fields and associated views: In our Cases we added the option to pick more than one Asset, that this Service Case relates to.

So there are three look-up fields. But when I click on the Assets to see, that Cases are connected to it, only the one in field "Asset" (the OTB Asset lookup in the Case Main Form) shows the specific Case in the Associated Case view. Asset 2, for example, doesn't show it.

Can anyone explain to me why and how I can fix this?

Thank you so much in advance!!

The two assets are two different relationships with case. They cannot be combined in one view. What you can do is create a tab with two different subgrids. One for the asset showing as Asset on cases and one for the asset showing as Asset 2 on cases.

Alternatively you could go for a many to many relation between asset and case.

    Hi Timothy,

    thany you for your answer!

Can you maybe explain a bit clearer what you mean with many to many relation between asset and case? How woud I do this and what would be the outcome?

    Thanks!

Normal relationships in Dynamics are a one-to-many-relationship. So one asset relates to many cases. With a many-to-many-relationship you can create a relation between many assets and many cases. One both sides, the other records show as a list instead for a lookup field on on of the records.

Pleas find more info from Microsoft here: docs.microsoft.com/.../create-edit-nn-relationships

    Hi Timothy,

I know you answered quite a while ago - thanks again for that and sorry for the late reply: So I tried this and created a many-to-many relationship between Case and Asset. But I just don't know what to do next? I still don't see more than one related Asset to a Case.. Is there anything else I need to create / change ?? I did not delete the standard 1-n relationship between Asset and Cae, might this be an issue?

    Thank in advance for assistance

After publishing you should be able to see assets via the related tab on the case form.

Thanks for the reply. Unfortunately not :(

I still only see related cases for the one asset that is filled in the ootb field "Asset" on the case form. The assets that are filled in my custom look ups "Asset 2" or "Asset 3" are still not shown in the related tab.

    Hi,

Once you create N:N relation between Case and Asset, you will need to open Form editor and click Insert tab then select Subgrid -

    5315.CR9.PNG

Now Save and Publish your changes. This is how it will look like on form where you add existing multiple Assets-

    1258.CR10.PNG

I have associated two assets. Now If I go back to Asset form ->Related Tab-> I would see Cases for N:N

    4338.CR11.PNG

You are seeing four because I have also added 3 Asset lookup of the form.

    CR12.PNG

3 lookup and 1 N:N relationship so 4 related tabs for Cases.

You could also modify the names so distinguis the related tabs by opening the Asset form and modify the Navigation properties.

Please mark my answer verified if this is helpful!

Aaah yes amazing now it's exactly what I was looking for!!

I added the Asset-Subgrid to the Case form so that we can now add Assets via "Add Existing" and on the Asset form I added a subgrid with "All related Cases" and it shows alle the cases - perfect!

In this way I can get rid of my "Asset 1, 2, 3" fields as well.

    THANK YOU !!
