AP Invoice Automation Frequency Limitation

(1) ShareShare

We are exploring the AP Invoice Automation and have encountered an issue with the workflow frequency.  It is limited to Hourly.  In addition, we are finding that if a pending invoice is created immediately before the workflow job executes, it will not be picked up by the job.  It will be picked up by the subsequent run of the workflow job.  It appears that there is a built-in filter to only pull pending invoices that are more than 1 hour old.  This means that I have as much as a two hour wait for an invoice to post and if there is a posting error, I have an additional two hours after correction.  Furthermore, once this functionality is enabled, the workflow applies to all invoices (manually entered and captured through automation).

This presents the problem of how to process invoices that need to be paid immediately.  There seems to be no way to quickly create and post an invoice.  This happens all of the time in and business.  Any suggestion on how to address this problem?

    Hi,

To address the problem of processing invoices that need to be paid immediately, you may consider the following suggestions:

    1. Create a separate workflow: You can create a separate workflow specifically for invoices that require immediate processing. This workflow can have a higher frequency, such as every few minutes, to ensure prompt handling of these invoices.

    2. Utilize batch processing: Instead of relying solely on real-time automation, you can set up batch processing at regular intervals throughout the day. This way, even if an invoice is missed in one batch, it will be picked up and processed in the subsequent batch, reducing the waiting time.

    3. Consider customization or integration: If the built-in functionality does not meet your specific requirements, you may explore customization options or integrate with third-party solutions. This can allow you to tailor the automation process to your business needs and handle invoices in a timely manner.

    Best regards,
    Kevin
