GP 2013 R2 Olenote attachments missing after upgrade/move

After moving GP to a new server and upgrading from GP 10 to GP 2013 R2, all the attachments to notes are missing. The original path name to the notes was

OLEPath=C:\Program Files (x86)\Microsoft Dynamics\GP\Data\Notes\

and the new path to the notes is:

OLEPath=C:\Program Files (x86)\Microsoft Dynamics\GP2013\Data\Notes\

Is the only way to get the notes back to create a folder called C:\Program Files (x86)\Microsoft Dynamics\GP\Data\Notes\ and move all the notes into there?

    Hi Richard,

    You need migration utility to convert old OLE notes to GP 2013 R2.  Please have a look the following link from Pam

    This utility does not find any of the notes. Did it have to be run before the move/upgrade? It sees the company but says there are no notes. The notes we need to restore are the ones when the user would click on the paper click after entering a note. I have a folder filled with thousands of notes.

    Hi Richard,

    I haven't done it myself but following notes I found from Terry which has detailed steps involved for the OLE notes migration.

    • Any user running the utility must have SQL Administrator rights - Just having Windows Administrator rights is not sufficient.
    • The user must be able to access SQL to read the companies, and to write to the database.
    • This level of security also meant to prevent most users from running the utility, and potentially extracting valuable documents they aren't normally able to access.
    • The utility must be run twice, at a minimum. The first time to Extract the OLE documents and Links.
      The second time to import the extracted documents.
    • OLE Notes are stored in a folder, rather than a database. So different users may have different OLE Notes containers.

    You may need to run the utility multiple times to extract and import all documents from all existing OLE repositories. This is unlikely to be common, but it should be investigated.

    • A folder must be chosen to store the exported files.
    • The folder's location must be large enough to hold the exported files.
    • It also should be secure - there may be valuable documents that you don't want everyone to read.
    • The utility is only able to properly extract documents and links that it is able to 'read'. So if there were a '.doc' file, but Microsoft Word was not installed, it would not be able to read nor export the file.
    • To reiterate for OLE Links, if the link is not 'reachable', the file linked-to will not be exported.
    • The normal rules for Document Attach also apply here. If the OLE Attachment is larger than 2GB, it cannot be imported into the Document Attach Maintenance window.

    When the links are exported, they are given the name on the link. But when the attachments are exported, there is no name associated. OLE is not a folder. It stores the Bits and what is needed to read it properly. So all exported documents will have names like 'Exported_1.doc', 'Exported_2.xls', etc…

    The file names may be edited within the Document Attachment Maintenance window.

    To recap:

    • Document Attach is the new OLE Notes.
    • You are still able to access existing OLE Notes
    • The Microsoft Dynamics GP OLE Object Migration utility will assist you in converting OLE Notes to attached documents.

    I was logged onto the server as the administrator and I was using 'sa' for  SQL credentials. When I first ran the utility it showed the company database but no notes to migrate. Now when I run the utility it does not even show the company. I have tried to run it from the server and from a workstation. I checked the olepath in the dex.ini file and it is filled with thousands of notes. I know it is pointed to the correct folder. I assume when it asks for the dex.ini file it is looking for the current one in use and then uses the olepath in the to find the current notes.

    I am having the same exact issue with a client.  Have you been able to solve the problem?

    Nothing has worked so far. We will open a case with Microsoft.
