Complete change of accounts structure and chart of accounts

Hi all,

I am looking for a functionnal consultant that have lived through a complete change of an accounting structure within AX?

For an example, i have a Customer who is on AX since 2012 and has 1 structure with 13 Financial dimensions and they want to narrow down the structure to 3-4 FD in the future. Has anyone ever done that in a LIVE environment? (i mean of course we will test this in TEST) but does it even Worth it?

-I know that we need to close down every single open transaction that can point to an old structure

-currency revaluation will/might cause problems because we revaluate invoices in next month which are still not paid

But I still see it as possible win if we keep existing FD. If, it is 3 new ones i believe it will get harder in terms of RISK.

And if i push this a little more, what if we want to change the Charte of accounts on top of that? In past, I have experienced this in an implementation phase, where we used 2 charts of accounts. 1 was not correct maybe with few references on it, so we loaded a second one. And we had some referecing issues. Even If we detached the old chart completly from every single parameter in the system, during transactions, the system still found some way to reference to the old chart even if we were using the new one. So that is the kind of exerience I am looking to here...

Do we now exceed the doability of this in the existing environment? Those this become more or less of a new implementation with a new entity?

I want to know the possible risks of doing all that in the Production.

    Hi Veronika,

    Changing an account structure is possible. However, in some older AX2012 environments, especially in older R2 versions, you might get a lot of errors and have to ensure that you have the latest hotfixes installed. Before trying to change things and running in possible problems, wouldn't it be better not to use your other 9-10 FD that you don't need anymore? I mean, just enter a fixed financial dimension value at the main account level for those FD that you don't need anymore and don't change your structure(s)?

    About the COA change: This is not possible. You better setup a completely new company and migrate the data to this new company. I would not risk making such a change in a live system even with the help of developers.

    thank you so much, your input is much appreciated

    I am trying to get a perspective on this subjct, so I can come up with the right answers and a solution.

    I would like to figure a way for them to achieve this with the least change possible. I will try to push for the no change of the chart and a dicommissioning of unused FD. That is my plan.

    But I would like for you to elaborate on this phrase:  ''just enter a fixed financial dimension value at the main account level for those FD that you don't need anymore and don't change your structure(s)?''

    How do you see it in therms of parameters? Would you use dummy values? Would you set those values on every GL and then allow blanks everywhere in case?

    Wouldn't that pollute my trial balance and reporting?

    Hi Veronika,

    What I ment with the fixed financial dimension is to fix those dimensions that you do not need anymore.

    As an example, let's assume that you do not need the FD business unit anymore.

    To avoid that you get a lot of garbage posted on that financial dimension, just fix a blank value, which overwrites everything that users enter. Your users might not even notice that somethings has change and that the business unit FD is actually retired.

    I did not know that we could use Blank as a value. This is very interresting.

    I will need to test this.
