Missing vendors and customers

AX 2012 CU3

The goal is to be able to restrict a user to a specified organization, much like a domain administrator in AX 2009.

A custom security role was created that merged in all other out-of-the-box security roles with the exception of system administrator and security administrator.  The custom security role was then assigned to a test user account.  The test user was then assigned a single organization.

When the test user opened the AX client, they navigated to Accounts Payable => Vendors => All vendors.  No vendors were visible although there were 100+ vendors present for the organization.  Same situation was seen for the AP customers list.

Recommendations?

    Hi Rick,

    Was the default company of the test user the same as the granted organization? Did the custom role also include the System user role?

    Did you enabled some XDS (security) policies? This could be done by setting some Global Address book parameters or activating or creating new policies in the AOT?

    Can this test user see other records like customer group and possibly also Workers?

    Hi André,

    Thanks for the quick response to the question!  The default company of the test user is the same as the granted organization.  The custom role also included the system user role.  XDS policies have not been changed.  The test user cannot see workers, but they can see customer groups.

    I suggest you to

    Validate if you have Record Level Security setup related to Customers and Vendors

    Validate in which company Test user is getting logged in, may be default company of the Test user is not appropriate and they are not able to see the data.

    Please verify and update with your findings.

    Hi Rick,

    It seems te be related to the global adress book as records related to this entity are not showing up. You can try to assign also the DAT company.

    Otherwise try to reproduce (if possible) on a standard environment with the standard demo data.

    Record level security is not utilized.  And the default company for the user is the same as the granted organization for that user.

    Hi André,

    I checked the global address book parameters in the organization setup and received this popup - "Address book security is not enforced at the POS".  After the pop-up, I was able to view the global address book parameters.  Under security policy options, secure by address book is checked.  Pressing assign teams shows that all available teams are selected for the two address books defined to the AX system.

    I also tried assigning DAT to the user as a granted organization.  No change noted.  The user remains unable to view vendors and customers.

    In case this adds value to the discussion - with the exception of the test user with the custom security role, everyone is a system administrator.  All vendors and customers were entered by AX system administrators.

    I removed the custom security role from the test user and replaced it with three out-of-the box roles - system user, accounts payable clerk and accounts receivable clerk.  Access granted to all organizations.  The test user still could not see vendors or customers.

    Hi Rick,

    Please check if the test user is part of a team. The teams are assigned to address books, but probably tbe test user not.

    You can also disable the Secure by address book parameter.

    Thanks André,

    The test user was part of a team that was assigned to all address books.  No luck there.

    Unchecking the Secure by address book parameter allowed the test user to see all the vendors and customers.

    Problem solved.  Thank you very much!
