I bought a TeamMember license for our Tenant in order to test and understand what is possible with this type of license.

As a general rule and in line with what is written in the documentation, a user with a TeamMember license can see everything, can add nothing (with a few exemptions) and can modify everything that already exists.
 
  • This leads to situations where a Team Member user can modify all the configuration pages (Inventory setup, GL Setup, Resources Setup...). We believe that this does not correspond to the scope of a Team Member.
  • A Team Member can post a purchase order for receiving goods, but cannot post/register a warehouse receipt.
  • We've noticed that the “can modify anything that exists” rule doesn't seem to apply to Premium modules.  A Team Member cannot modify a production or service order, for example.
  • The same applies to BC's CRM: a Team Member cannot make any changes to an opportunity/task.
  • The documentation mentions that a Team Member can add a quote, which is true.  However, they cannot add a quote from an opportunity.
  • Etc...
Following these observations, we tried to modify the TeamMember permission using the permissions set, and succeeded in removing some rights (for example, removing the right to modify configuration tables). But we were unable to add any rights (e.g. complete a warehouse receipt or modify a service order).
 
 
I would like to understand what the TeamMember license should be used for. We were under the impression that we could use it for, for example, certain employees in the warehouse or garage, who only need to enter a few lines in a receipt or a service order, but don't need to do anything else in BC, or representatives who only need to complete a task in the CRM.
 
Should the permissions for the TeamMember be similar to those for the Device license?  What about the service module, is there a “limited” license that could be used for mechanics in a garage?

      • Viewing data: They can read all data across the system.
      • Modifying existing records: They can update certain fields in existing records (e.g., customer, vendor, and item records).
      • Creating specific records: They can create sales quotes, personal information, and timesheets.
      • Approving workflows: They can approve workflows assigned to them.
    • However, there are restrictions:
      • Premium Modules: Team Members cannot modify records in modules like Manufacturing or Service Management.
      • CRM Limitations: They cannot modify opportunities or tasks.
      • Warehouse Receipts: Posting or registering warehouse receipts is not allowed.
      • Custom Permissions: While you can restrict permissions further (e.g., removing rights to modify configuration tables), you cannot grant additional rights beyond what the license permits.
    Comparison with Device Licenses
    • Device licenses are intended for shared use on a single device, such as in a warehouse or shop floor. They allow multiple users to perform tasks like:
      • Posting warehouse receipts.
      • Registering production orders.
      • Performing other operational tasks tied to the device.
    • If your mechanics or warehouse staff need to perform actions like posting receipts or modifying service orders, a Device license might be a better fit.
    Recommendations for Your Use Case
    • Warehouse Staff:
      • If they only need to view data or perform limited updates, the Team Member license suffices.
      • For tasks like posting warehouse receipts, consider a Device license or an Essentials license.
    • Mechanics in the Garage:
      • For limited access to the Service module, a Premium license is required, as the Team Member license does not cover these tasks.
      • Alternatively, a Device license could be used if the mechanics share a single workstation or device.
    • CRM Representatives:
      • If they only need to view data and complete tasks like creating quotes, the Team Member license is appropriate.
      • For more advanced CRM functionality, an Essentials license would be necessary.
    Conclusion
    • The Team Member license is best suited for users who need basic access to view and update existing data or perform lightweight tasks. For more operational roles, such as warehouse staff or mechanics, a Device or Essentials license may be more appropriate.
