Number sequences: Numbers with status Free not used

We have a number sequence for purchase invoice vouchers, continuous=Yes. There are several numbers in the action list with status Free. But if I create a new purchase invoice these numbers are not used, but it is taking the "next number" which is higher.

I have read several topics about number sequences, but not found a solution... Who can help?

    Hi,

The number sequence has a status list form that lists numbers that have not been used for example because a PO is deleted after it was setup, etc.

If you regularly delete this list for example by specifying the automatic cleanup for this number sequence, all numbers will eventuall by used.

    Best regards,

    Ludwig

    Hi,

I have run the cleanup and there are several numbers with status Active. I do not understand why these numbers are not used.

    kind regards

    Hi,

... and your status list does not include any record?

    Hi,

It does. Even today new records. But they are not picked up, if I create a new purchase invoice voucher it is taking "next number".

    regards

    Hi Ina,

Delete all of the records that you see in this list with Alt+F9.

Then those numbers will be picked up again.

    Hi,

But should AX not pick up these number from the action list? If I delete all records from the action list (NumberSequenceList) then these numbers are gone..

    regards

    Ina

Although its out of place, Microsoft recommends to use non continuous number sequences unless it is necessary:

    Number sequences:

    Recommendation:
-For each number sequence, unless there is a regulatory requirement that you use continuous, we recommend that you use non-continuous for better performance*
-Where number sequences absolutely must be continuous, carefully consider server usage when you plan the cleanup process. We recommend that you perform the cleanup as a batch job during non-peak hours.*
-Use pre-allocation for non continuous number sequences**

    Hi Ina,

No, those numbers won't be gone but become available again for usage.

If you are not sure, test this in demo Environment for example by Setting up a new PO/SO, saving it and deleting it immediately.

    Hi Ina,

Just wondering if you have been able to get this tested.

Would be great if you could keep us updated here and inform aus about any other help that might be required.

    Many thanks,

    LUdwig
