W2's available on the Company employee portal

We have been working on rolling out W-2 forms to be available on the Employee Portal based on employee acceptance to receive W2 electronically.

This is close to being rolled out.

 

My question is do we have a way to suppress the printing of the employees who consent to receiving electronically thru the EE Portal?

From what I see in GP, there is an option to suppress/exclude ESS Printed W2, not sure how that works since the self service is our EE portal not GP.

Do you have any suggestions as this was done to help both the company save cost and to provide convenience to the employee.

    Hello,

    The way that we do this in the Self Service Module in GP itself is when an employee prints their W2 on their own, we mark the ESSW2PRINTED column in the UPR10101 Year End Wage file table (which contains their W2 data for the year).  So then when you check the box to 'Exclude ESS Printed W-2' we skip these records.    

    select ESSW2PRINTED,* from UPR10101 where RPTNGYR = '2021'

    So you would have to update the ESSW2PRINTED flag to be 1 in the UPR10101 for all employees in your company portal so that GP will skip those employees when you select the option  'Exclude ESS Printed W-2' and print your W2s.  I am not sure how connected your portal is but you could potentially automate this on your side or simply export a list of those employees that opted to receive it electronically and update SQL so that they do not get a printed copy for the year.

    update UPR10101 set ESSW2PRINTED = 1 where RPTNGYR = '2021' and EMPLOYID = 'XXXXXX'

    Sorry to hear about but It is possible to suppress the printing of employee W2 forms for those who have consented to receiving them electronically through the Employee Portal. In GP, there is an option to exclude ESS Printed W2 forms, even though self-service is done through the Employee Portal rather than GP. This can be done by selecting the appropriate options in GP to exclude ESS Printed W2s and then ensuring that the Employee Portal is set up to properly handle electronic delivery of the forms to consenting employees. It is recommended to consult with an HR or IT professional to ensure proper setup and execution of this process. DGme
