iCal in email - is this available OOTB yet or do we still need the workaround?

Posted on by 575

Hi guys

Can anyone say if the iCal feature that was supposed to come in the current wave was actually implemented? Still showing in Application ideas here: https://experience.dynamics.com/ideas/idea/?ideaid=1ab45766-9188-e911-80e7-0003ff68c3e1 as Under Review but I though this was coming now?

Not done this yet but are we still having to create the iCal files and store them externally and reference them by using a button with a link? Looking to send an email to someone who registers for an event and it would ideally include a iCal file. I assume we need to create a Customer Journey for each event we wish to do this with and attach the appropriate iCal file for that event. Read this in a few places and seems okay to do but a bit messy for end users to have to do this for multiple events.

Thanx in advance for any advice.

Steven

Hi Steven, its on the Events section on the additional information tab. Exactly the tab where you highlighted the Description before.

It should come at the bottom of that page.

    Hi Chris

Thanx for that info. Can you tell me which tab this appears on please as although I've updated the system to the newest version and can see the new email designer (complete with the ability to add a calendar item to an email) I do not appear to be able to see the fields you are showing within the Event form. This form does not appear to have been changed during the upgrade so I'm curious where those fields are.

    Thanx

    Steven

    Hi Thomas

The description field is for you Event information on your landing page. Unfortunately, this doesnt have a rich text editor yet, i believe its a much needed feature request.

The information for the Calendar is further down on the page and does have a an RTE.  This section can allow you to re-design the calendar information that gets saved.
Name of event, phone number or email so someone can contact you if they have joining issues.

Thanks Chris it's working now with dynamics segment.

There is still one issue, we are dealing with Microsoft support is the Event Additional information field 'Description'.

Even if it's long or rich text, it's not  correctly synchronized with your Calendar .ICS file.

If you set all your webinar credentials, it won't be displayed correctly in your calendar.

Hi Thomas, i believe that it doesn't work when you make a test send. I made a test event on our DEV site, and registered myself, along with a few colleagues. Made a simple confirmation email "with add to calendar button" and a simple CJ to send the Confirmation Email after Event form submission was made.  We now have this on a Production Live Site and its working fine.

    Hi Steven, good morning

    Thanks for your answers.

I just updated my marketing app with last verion.

On marketing email designer, i can see the 'Ad to calendar feature', and set it up for my button 'Ad to calendar'

    Thanks for your help.

Yes I am able to use this feature. I had to go into Versions to ensure the Marketing app was up to date and I’m also using the new email designer (make sure to turn that on within the options area as well).

Once I’d done that I was able to add a button to the emails pointing to the .ics file.

Works pretty well imo as you can reference events or sessions or both.

    Hi Steven,

Are you able to use this feature?

I was expecting to create event confirmation  email with new button 'add to calendar', but it's not working. Microsoft is telling me today that it has not been implemented yet.

The Calendar Information can be edited on the 365M Events "Additional information tab". Here we can pimp the message that is placed in the ICS calendar file. What im missing is the ability to set an auto "reminder" for eg. 15 mins before. Instead, whoever open the ICS file needs to add that themselves.

Totally agree about the internal MS links and spam score in the Emails. As soon as anything is tracked to something inside 365M the score increases a lot. I posted an idea for MS to somehow include a "bitly" type function to shorten the urls. They are just way too long.

Anyway, just finally relieved to have the Add to Calendar available. Think it has been the most asked for feature in 365M.
