How to stop user from editing general journal line item for unposted but approved workflow item

Hello folks,

I realized that using dixif to import general journals i was able to edit a line amt of previously imported journal which has been approved in workflow but still not posted.

What should i do to avoid this thing to happen, am i missing some setup, ideally if line item of approved journal should not be allowed or if allowed it should change the workflow status from approved to review again.

Detail scenario

User 1 imports CSV file containing a  GL 1 which has 2 line item for Voucher v1 & v2, the amt for voucher is $100.

After GL is imported it is submitted to ledgerdailytemplate type workflow.

Workitem is approved in the workflow for $100

User 1 now reimports the same CSV file only this time he changes amount for v1 & v2 to $1000.

This update the journal with $1000 amt, issue is that thsi should not have happened  because journa was only approved for $100.

Please suggest a fix, am i missing some parameter which would reset the workflow status upon line item being changed.

I have the same question (0)

Hi May, I think on the DataEntity can add a customization code to check if this journal is approved . then block the update.

That is my last option as I do not want to write validation in out of box data entities as I strongly belive that there could be some setting or parameter I could be missing.

If not then this is a critical security bug where any user having access to Dixif can change the journal after it is approved.

    Hello Mav,

Can't you make use of journal restrictions so that people do not even see the journals imported?

Here is a brief summary how that might work:

Making use of journal restrictions would still allow the user in user group to  import and change the approved unposted journal. For example user 1 and user 2 are 2 users in ax having access to dixif. user 1 is member of user group ug1 which has access to journals  .

With this setup user2 won’t be able to see the journals bit able to import journals. user1  will be able see plus change the approved journal by reimporting the same file via Dixif.

    Hi Folks,

Would you concur with me that this is indeed a bug , due to which a user who has access to DIXIF can always make changes to an "Approved" workflow  general journal.

    Thanks

    Mav

    Hi Mav,

In a certain way, this can be considered as a bug. But it could also be classified as works-as-designed. You can try to create a support ticket for Microsoft. I do think personally that some custom logic could solve the issue quicker.

    Hi Mav,

There is no such reward or badge available but be assured that MS and the community highly appreciates your efforts and what you do to improve the product.

Thank you for your effort and being part of this community!

    Best regards,

    Ludwig
