New column from Sharepoint documents in Dynamics 365

Posted on by
Good afternoon,

When I'm consulting a list of documents in Sharepoint, I'm able to add a new column. For example, I'm adding a column to give a special category to the document from a list of choices.

Dynamics 365 can be linked to the documents stored in a Sharepoint group, like showing a list of files in a sub-grid. In the grid, I can't seem to be able to show the new column I added. Can it be done ? Is there something special to do to make it work ?

Thanks for your help, and let me know if there is some doc out there about it.

Cheers !

    Hi

Dynamics sub-grid showing the documents are out of the box integration. Grid shows the following details:

Name, Path, Read WebApp URL, Modified, Modified by, Created on SharePoint, Absolute URL.

Unfortunately you won't be able to extend these columns.

    Thanks

To create a new column in Dynamics 365 from SharePoint documents, you can follow these steps:

    1. Connect SharePoint to Dynamics 365: Ensure that you have integrated SharePoint with Dynamics 365. This allows you to access SharePoint documents within Dynamics 365.

    2. Navigate to Dynamics 365: Log in to your Dynamics 365 account and go to the desired entity where you want to add the new column.

    3. Customize the entity form: Open the form editor for the entity by navigating to Settings > Customizations > Customize the System > Entities and selecting the entity you want to modify.

    4. Add a new field: In the form editor, select the section or tab where you want to add the new column. Then, click on "Fields" in the toolbar and choose the type of field you want to add (e.g., Single Line of Text, Number, etc.).

    5. Configure the field properties: Once you've added the new field, you can configure its properties, such as display name, data type, and format. Provide a meaningful display name for the column to describe its purpose.

    6. Set the data source as SharePoint: In the field properties, find the "Data Source" or "Data Type" option and select the SharePoint data source. This will link the field to SharePoint documents.

    7. Choose the SharePoint column: In the field properties, look for the "Field Mapping" or "Mapped Attribute" option and select the SharePoint column you want to associate with the new Dynamics 365 column. This establishes the connection between the two.

    8. Save and publish changes: Save your modifications in the form editor and publish the changes to make them visible in Dynamics 365.

After completing these steps, you should have a new column in Dynamics 365 that retrieves and displays data from the specified SharePoint document column. Remember to test the functionality to ensure it works as expected.
