Creating a SubDepartment Financial Dimension of Operating Unit Type Department

Hello,

I have the following Dimensions: Department, SubDepartment, CostCenter, Location.

There's a defined hierarchy for Dept, SubDept, CC.

Earlier I had created SubDept as Operating Unit Type: "Value stream" which I was told is not the correct approach so I have changed the SubDept type to Department.

Now, In the Operating Unit Department I'm holding all the values of Dimension Dept and Sub Dept. And through the Account Structure I am restricting the values when the Journals will be entered.

For eg.

Dept - SubDept

1000 Finance - 1100 Investment&Strategy

1000 Finance - 1200 General Finance

2000 Operations - 2100 General Operations

So on and so forth...

What would be the best approach? Go with Custom Dimension for SubDept, or go with the above approach to have the benefits of default dimensions in reporting and workflows.

Appreciate any inputs.

    Andre Arnaud de Calavon Any final comments on this one? I'm 100% sure production will never be used in this environment. Shall I go with Value Stream because it's better to have separate containers instead of holding both in Department? Or Value Stream can give problems? I was told Value Stream is not right but was never given any detailed reason.  

    In case of Department we can have employees attached to it. But then there's a trade off for having this feature maybe? To enter specific departments when we are generating report or any other thing in the system based on only Department?

    Hi MYGz,

    Going for one option or the other can depend on many different variables. With the limited information, I can't make any final comments here. You also mention employees and the department link. What level do you need for the employees? The department, sub department or both?

    Both options might be feasible. If you are not using the manufacturing features, the Value Stream can be used. You can also create a new table and use some code patterns to have this new table acting as entity-backed dimension.

    Probably link the employees with both dept and sub dept.

    We do not have the Dev Env on LCS yet and we have to Go Live with not much time to develop or test. So my question is in future if we do decide to create a new default dimension, will there be any challenges other than just having the old dimension on previous transactions. When I swap the sub department with a new dimension, (1st I'll rename sub dept, then remove it from segment, then add new sub dept dimension) can the system treat it as previous dimension or it will make a distinction in reporting etc.

    Hi MYGz,

    It is not clear if you want to maintain both values together on the worker or for one worker select a department and for another the sub-department. That would make a difference in the recommendation how to use the Department operating units.

    When you decide to go for a customization in the future, there will be an impact. When you replace the dimensions, it will create new dimension set values for all combinations which could lead to more cumbersome reporting as some transactions do have sets based on the old dimension and other transaction will have the new dimension value sets.

    In most cases Dept and SubDept will have different workers. But in rare case, can it same for both?

    You mention "in most cases". There is only one department field available. If you need more than one value, you have to add a second field for the sub department. You can also consider using a sub-position for the same worker. Then you can link both, however, I don't know for what purposes you want to use the department or sub department on the worker information.

    Andre Arnaud de Calavon  I want a default dimension to be able to use the Organization hierarchy.

    If we plan to implement Budget Planning in future, SubDepartment must be a default dimension to be in hierarchy right? I'm still checking the trade offs between the two approach. Still checking the application of Department and Employee linkage.

    When you create a hierarchy, then you can use the same operating unit for different levels. You can then e.g. on level 2 use department values and on level 3 the same operating unit, but with the sub-department levels.
