Lookup is not able to find records created in 2020, but is able to search 2019 records

Posted on by 45

Hello,

I read few articles on Dynamics Community but was not able to find a clear answer.

Problem - I have an entity called Asset : we have old assets like since 2019 and new assets created in 2020. I have another entity called Agreements - Now we attach all this assets to this agreement using lookup (it can be old or new active assets)

Scenario 1 : I created new asset for 2020 and want to attach in my ongoing agreements which is active since 2017 i.e. I need to attach new assets to old Agreements from 2017 (agreement is active until from 2017 to 2020 Dec), and when I search assets in my asset field - I am only getting assets from 2019. So I am not able to attach the new created assets

2. But if I create a new agreement for today's date, and search assets from 2020 I can see them all and I am able to attach them to new agreement.

I checked the 'Quick Find', Quick View, everything is active, and set to search the name, I checked the relationship- everything looks good. I did not check SQL as I dont have rights to it. But if I can find anything from CRM then please help me find it, of why the new assets are not attaching in agreements.

Thanks,

Komal

have you found the solution ? it could be a issue due to latest version update and quick find view is disturbed as well, sometimes if you remove primary key from find view then result become random as well

    Hi Bipin,

Thanks for your suggestion. I did check all criteria's and also checked 'Quick search'  for find and view, all is set to Active assets and agreements.

If it was caused because of Criteria then, I would have not be able to find it at all. But I can see the new assets in newly created agreement. It just the old agreement where I cant find it.

Thanks again for your suggestion, I appreciate that.

    Hi,

Could you please check view filter criteria.

I would recommend to check view in Advanced find and see if you are getting the result. I am suspecting there is a filter criteria added in view which is causing this issue.

So you have Asset field on Agreement entity form? Lookup field uses lookup view by default. Check lookup field filter criteria.

Please mark my answer verified if i were helpful

    Hi,

One concern or question I have - I was reading somewhere that a managed and unmanaged solution might cause this. So recently we created a new unmanaged solution and moved in both UAT and Prod for assets, agreement etc. in it. Do you think this might be causing it?

-- You can take solution based on your requirement, just keep in mind you need to understand difference between unmanaged and managed solution properly, Most of the company use unmanaged solution if they are not ISV, so I am not sure how you are thinking unmanaged solution can cause this unless you find any of your change got overwritten because of unmanaged solution.

Do you have a way of getting a managed solution back or reverse this? I would have done it, if I had an old solution, but currently I dont have the old managed solution.

-- You can't change managed solution to unmanaged using supported way at least.

I would definitely check the scripting. We dont have an associated view in Asset for Agreement. As the user doesnt need it, they have an inventory created which will calculate, as soon as an agreement (with asset in it), is approved and active.

    Hi,

I will suggest you to de-activate any scripting on the agreement form, and check if you still see the issue.

Also try to do one thing go to the Asset and look for the associated view for agreement under asset, as there is N:1 relationship between agreement and asset, so you should have associated view on the asset for agreement. Try to use add existing button to add existing agreement to this asset. There try to look for the old agreement.

Please remove asset from the old agreement in case you have parental relationship between these entities.

RE: Lookup is not able to find records created in 2020, but is able to search 2019 records

    Hi Mahen,

Yes Asset lookup field on Agreement.

So the filtering is active assets, and all asset from 2017 to 2020 are active. Also all agreements is active since 2017 until now. so when I am trying to add new assets created in 2020 in old agreement created in 2017, new assets doesnt show up.

But when I try to create a new agreement in 2020, and try to add new assets, it shows up. Sorry If I am repeating myself again.

I also try to see if other entities are behaving same. So created a new account and try to add them in old contact, and in lookup I was able to see the new account. so other entities are working fine.

    Thanks,

    Hi,

Sorry for the confusion about my earlier response, I realized it after reading  again so changed my response but I  think you get feed by the time :)

I am assuming you are saying you have lookup of asset in agreement, did you check if there is any filtering in this lookup, let me know if my understanding is not correct.

RE: Lookup is not able to find records created in 2020, but is able to search 2019 records

    Hello Mahen,

Thanks for the reply, apology for a small confusion. We havent create two different entity.

We have two entity - 1. Asset 2. Agreement.

When I said 2019 and 2020, that was 'asset record' I was talking about (sorry about that). So we have old records of 2019 which is seen in my agreements, but when I try to search new assets record for 2020, it is not showing up. However when I create new agreement, and try to look for asset record from 2020, it is seen.

When you say new entity, does it mean creating a new relationship 1:N from Assets to agreement?

    Appreciate for your help.

    Thanks
