Active/closed quote update custom field

Hi All
Is there anyway to modify value of a field in a active/closed quote? Created a business rule and unlock the field but it doesn't work. How do people capture reason codes for lost quotes?

    Hello @Samantha73,
     
    You can add customized Ribbon buttons to Close Quote with different statuses/values. Refer to below section "Add quick close quote button to the command bar " to add customized Quick Quote buttons. You can close quote with customized statues as well you can update certain values to quote based on your needs by adding javascript functions to these.

    1. Use the "Close Quote" Dialog (Win/Lose)
    • Customize the "Close Quote" dialog via JavaScript or Power Automate to prompt for Reason Code (e.g., Lost Reason).
    • Store the value in a custom field on the Quote or a related custom entity.
    1. Create a Custom Activity (e.g., Quote Outcome)
    • Create a related entity like "Quote Feedback".
    • Capture Lost/Win reason, competitor, comments, etc., after quote closure.
    1. Reopen the Quote (not ideal for audit)
    • Temporarily reopen the quote, update the field, then close it again.
    • Not recommended in production due to audit trail and compliance concerns.

    You can’t directly modify fields on active or closed quotes because they’re locked by design. Unlocking via business rules won’t work on these records.
    To capture reason codes for lost quotes, the common approaches are:
    1. Customize the quote close dialog to include a reason code field so users enter it when closing the quote.
    2. Use a related custom entity to store loss reasons linked to the quote.
    3. Reopening and editing the quote is possible but not recommended due to audit concerns.
    Best practice is to capture reason codes during the quote closure process before the record is locked.
