Team Member permissions

Brett Hensley (asked a question on 27 Jul 2018 4:12 PM) about Team Members. I was at Directions EMEA this week and I seem to recall hearing that the Team member licence for Cloud does not allow Sales and Purchase Quote creation but the On-Premise licence does. 

Many organisations need many low-level users to create Requisitions or Purchase Quotes (or even Purchase Orders). This is something that should be easily achieved through the great mobile apps but is not viable at any scale with "Essential" user pricing. We could all sell more Team Members if this simple functionality was added for Team Member licences - for instance I have a 200 user prospect right now.

If this could be passed up the chain or opened for discussion and clarified it would be great.

    Hi Sirs,

    based on previous discussion, does Team Members not able to read finacne report or approve G/L? 

    Sometimes my customer wonder if high-level management could use team members license instead of essentials license or premium license.

    I'm just adding this because this was the first useful link that came up when searching for what Team Users can do in BC.

    This is a quote from p38 of the May 2022 Dynamics Licencing Guide.

    "The Dynamics 365 Business Central Team Members license, not to be confused with Dynamics 365 Team Members license, grants a named user the following rights for their own use only (not for, or on behalf of, others):

    • Read data within Business Central

    • Update existing data and entries in Business Central, such as previously created customer, vendor, or item records. Entries are defined as specific accounting information that, may be updated, such as a due date on customer ledger entries.

    • Approve or reject tasks in all workflows assigned to that user, with the limit that approvals and rejections can only update data in records that Business Central Team Members can access.

    • Create, edit, and delete a sales or purchase quote

    • Create, edit, and delete personal information

    • Edit job time sheets for approval

    • Use the Dynamics 365 Power Apps/Power Automate use rights provided with a Dynamics 365 license

    • Business Central Team Members application module may be customized with maximum 15 additional tables (custom tables or standard Dataverse tables) available to the Business Central Team Members license."

    Very curious... I've copied the text above from a PDF I had (D365BC on-premise licensing guide October 2018) but the actual D365BC licensing guide published does not mention Orders any more, only Quotes.

    just out of curiosity: is the information above available in any document from Microsoft?

    Seems it is not mentioned in the licensing guide.

    Yes they can create but not posting.

    Team Members get restricted access to the ERP Solution to complete only the following tasks:

    • “Read” access to any data contained in the ERP solution; and

    • “Write” access to a maximum of 3 table objects with the following exceptions:

    o Team Members users are not authorized to write directly or indirectly to the following tables:

    General Ledger Entry (table number 17), Permission Set (table number 2000000004),

    Permission (table number 2000000005) or Access Control (table number 2000000053); and

    o Tables described in Appendix A: Team Members User Included Tables do not count towards

    the 3 table objects.

    Writing the transactions of a Team Members user to a temporary table then having a Full User (or a

    system process) post those transactions to table 17 is an example of indirect write access to table 17,

    which is not permitted. Transactions created by a Team Members user are not considered indirect write

    access if (i) they are needed by a Full User as in an input to perform their job function and (ii) transactions

    are processed individually (not in a batch).

    The Team Members User Included Tables should allow you to perform the following tasks:

    Sales

    • Create a Customer with relevant contact details, based on a template or from scratch.

    • Create an Opportunity for an existing Campaign, and relate it to Sales Quotes or Orders

    o Quotes:

    Create a Sales Quote for an existing or a new Customer

    Send a Sales Quote by email, send it for approval, or convert it to a Sales Order

    o Orders:

    Create a Sales Order for an existing or a new Customer

    Send a Sales Order for approval

    Purchase

    • Create a Vendor with relevant contact details, based on a template or from scratch

    Other Tasks

    • Fill in an existing timesheet

    • Perform Document Capture - Expense reporting by scanning an invoice to create an incoming

    document

    As per Dynamics 365 Business CEntral Licensing Guide, Team Member users can 

    Read anything within Dynamics 365 Business Central • Update existing data and entries in Dynamics 365 Business Central - existing data are records like customer, vendor or item records which are already created. Entries means entries on which it is specifically allowed from an accounting perspective to update specific information.  (e.g. due date on customer ledger entries) • Approve or reject tasks in all workflows assigned to a user • Create, edit, delete a quote  • Create, edit, delete personal information • Enter a time sheet for Jobs • Use PowerApps for Dynamics 365

    So it does say Create, Edit or Delete a quote, but not sure if they can create Purchase and Sales ORders
