Hi All,

I have AX 2012R2 .Can anyone please tell the process or steps for doing invoicing for Project of Time and Material Project Type ? is anyone has blog or document please share ?

Hi Visvash Walia,

Creating a project invoice is pretty straightforward.

(a) ensure that you have recorded some project transactions with a billable project category

(b) create a project invoice proposal and select the transactions you want to post

(c) post the invoice proposal

If you need some additional information, please have a look at the Dynamics Learning Portal (provided that you have Access to it).

Hi Visvash Walia,

Yes you can project invoices through free text invoices. In order to realize that you have to ensure the following:

(1) In the AR module parameters (project section) you have to enable both of the available Project Parameters there

(2) Then open the free text invoice form, select a customer as usual and enter all the Details as you know

(3) In the free text invoice lines - Project tab - enter the Project ID

(4) If AX asks you whether a new funding source shall be created say yes

(5) Post the invoice and check the outcome

So it means no need to do invoice by invoice proposal (mentioned in your first comment) if i did invoice through FreeTextInvoice.. am i getting right ?

Hi,

Sorry for the confusion.

I will try to explain it in more detail.

There are basically two ways how you can create project invoices:

(1) The standard way is posting some project transactions, such as hours with a billable line property. Once this is done you start the project invoice proposal and invoice the customer.

(2) Quite recently the free text invoicing option has been made available. If you make use of this option you do not need to post anything on a project but can right away create a project invoice without making use of the Project invoice proposal form.

The 2nd alternative is a kind of shortcut that you can use for invoicing transactions such as management fees and everything that has not costs attached.

Okay I use FreeTextInvoice option for Project Invoice , it would book my revenue but where to book cost . i am confused please clear to me .

Hi Rohin,

let's start with the easier standard invoice process first.

Step 1:

Create an new hour Journal and post some chargeable hours

Step 2:

Open the invoice proposal form

Step 3:

Make sure that the chargeable hour Transactions are selected.

Step 4:

Post the invoice proposal

Result:

Cost and revenues are posted.

It would be great if you could try to replicate this in a demo environment. If you manage this, then we can continue with the free text invoicing.

Thanks Ludwig for your such efforts in helping me,

Now I am getting following things from your steps:

1. you booked hour journal that have cost price and sales price so accordingly cost amount is booked from this - booked COST

2.then you post Invoice proposal by selecting project hour transactions so accordingly (by category or project group) Revenue amount is booked from this - booked Revenue

Now , i would try with FreeTextInvoice , where can be the Cost and revenue different ? should i need to post hour , expense or other journal also ?

Hi Rohin,

Here is an example of a free text invoice related to a Project

If you post this invoice, AX will only post revenues but no costs

That is because AX uses a fee transaction type for this kind of posting.

Using free text invoices the way illustrated thus separates your project cost and project revenue areas from each other.
