Conditional Logic for Remittance Email

Hi all - we have a payment integration with Unycom/Legal Tracker where invoices from a specific software do not populate the Invoice field properly. Instead, the Invoice Number populates the "DocumentNum" field. The other types of invoices do not do this.

This creates a problem with our remittance emails, because the invoice number is not shown on the template. Vendors are constantly asking us for the invoice number, creating a lot of wasted time on the accounting side.

We have an integration with JP Morgan for all Electronic Payments, and Electronic Reporting ISO 22002 Credit Transfer items.
Any edits need to go through them, and we are having little luck getting a template where we can use "DocumentNum" field (we would rename it "Invoice No" but keep the DocumentNum logic). 

We are wondering if there is a way to set it so all Unycom/Legal Tracker invoices use a new remittance email template (one where DocumentNum shows as Invoice Number), and all other invoices use the one we currently have set up.

Alternatively, wondering if there is another solution.
Maybe IF invoice type = Unycom AND DocumentNum field is populated, it can populate the Invoice Number with the same value?

Any ideas would be greatly appreciated. We tried fixing this on the Unycom side on how the data is flowing in, and we haven't had luck there either.

    I'm a bit/heavily predispositioned to say make a customization to FinOps, since I'm a developer by trade, and don't know anything about your integration between Unycom, but here it might be the best bet. Do some kind of logic that checks the value of the DocumentNum field for these specific payments and transfers them to the invoice field.
     
    Depending on how you have made the remittance mails, I.e. using electronic reporting for them, you could make the logic in that. That would be my next advice.

    To address this issue with remittance emails and streamline the process, here are two potential solutions:
    Solution 1: Conditional Logic for Templates
    You can set up conditional logic to use different remittance email templates based on the invoice type:
    1. Create a New Template: Design a remittance email template where the "DocumentNum" field is displayed as "Invoice No."
    2. Apply Conditional Logic: Configure the system to automatically select this template for invoices from Unycom/Legal Tracker. For other invoices, the current template will remain in use.
      • This can be achieved by defining conditional rules in your email system or integration platform. For example, "If invoice type = Unycom AND DocumentNum is populated, use Template A; otherwise, use Template B."
    Solution 2: Populate Invoice Number Field
    If conditional templates are not feasible, you can use logic to populate the Invoice Number field with the value from DocumentNum for Unycom/Legal Tracker invoices:
    1. Define Conditional Logic: Set up a rule in your integration platform or accounting system:
      • "If invoice type = Unycom AND DocumentNum is populated, copy DocumentNum value to Invoice Number field."
    2. Automate the Process: Use automation tools like Power Automate or scripts within your integration platform to implement this logic.
    Both solutions require collaboration with JP Morgan to ensure compatibility with their systems for Electronic Payments and ISO 22002 Credit Transfer items.
