User's Personal Dashboards Disappearing in Dynamics 365

Hi everyone,

We’re facing a strange issue in our Dynamics 365 environment and would appreciate any insights or similar experiences.

A user has reported that personal dashboards created in the past few weeks are disappearing suddenly, without any deletion action from their side. Interestingly, older personal dashboards still exist and function normally. This issue seems to affect only one specific dashboard, which has been recreated multiple times; and each time, it disappears again after a few days.

We checked if the dashboard was assigned to someone or any views associated with the dashboard had been modified recently, but none happened. We also checked if there were more tiles used inside the dashboard but only 3 components used as per the user report.  This is the 3rd time for the same dashboard the user reported. 

Please let us know if anyone has any idea on this, it will be really helpful.

    This issue—where a personal dashboard disappears repeatedly after being recreated—can stem from a few potential causes:

    Possible Causes & Recommendations
    1. Security Role or Access Changes
      Even though personal dashboards are user-owned, changes to the user’s security roles or team memberships can affect visibility.
      → Confirm that the user’s roles and access rights haven’t changed recently.
    2. Dependent Views or Charts Modified or Deleted
      If the dashboard references a personal view or chart that was deleted or altered, it can cause the dashboard to disappear.
      → Verify that all views and charts used in the dashboard still exist and are unchanged.
    3. Plugins, Workflows, or Power Automate Flows
      Background processes might be unintentionally deleting or modifying dashboards.
      → Review any custom plugins, workflows, or flows that interact with the UserForm entity.
    4. Audit Logs
      If auditing is enabled, it can help determine whether the dashboard was deleted and by whom or what process.
      → Check the audit history for the dashboard entity.
    5. Storage or Sync Issues
      If the environment is nearing storage limits or experiencing sync issues (especially with mobile or Outlook clients), data loss can occur.
      → Check environment storage and sync health.
    6. Browser or UI Caching
      In rare cases, dashboards may appear to disappear due to caching issues.
      → Have the user try a different browser or device to rule out UI glitches.
    Additional Questions to Narrow It Down
    • Is the user syncing with Outlook or using the mobile app?
    • Is the dashboard shared with others or strictly personal?
    • Are there any third-party integrations that might be interacting with dashboards?
     
    If the issue persists, consider enabling auditing specifically for the UserForm entity and setting up a temporary monitoring plugin or flow to log changes to dashboards.

    To address, there is no recent time security role changes for the user (team/user) and even personal views are used there were no modification done in recent times as per user report. 
     
    Coming to the process/plugins, we don't have any associated plugins or processes related to dashboards, but still we didn't have solid evidence of the deletion. To highlight, I can't see tables (userform/userdashboard/systemform) explicitly in the customizations area, but I could see while querying in the backend. However it is fetching details for the logged in user not for a specific user.
     
    Is there any way to enable audit for personal dashboards same as we do for entities?
     
    And regarding the questions asked,
     
    Yes, we have server-side synchronisation with Outlook.
    The dashboard is strictly personal not shared with anyone.
    There is no third-party integration involved here.
     
    Hope this explains the situation clearer. Please let me know is anything there to track or restore the deletion.

    Hi,

    It’s possible that the personal dashboard was reassigned to another user, either by the original user or by someone with administrative privileges. In Dynamics 365, tools like XrmToolBox — particularly the "Personal Views/Charts/Dashboards Transfer" or "Personal Artefact Manager" tools — can be used to transfer personal dashboards, charts, or views to another user, which also revokes access from the original owner.

     

    This could be the reason you're experiencing the issue.
