Hi,

We tried to delete the payment method ; credit Card from expense management module and the following error occurs.

We tried to delete the payment method credit card from expense category and still the error occurs.

Please note that i have made sure there are no unposted expenses with credit card as payment and even deleted all the expenses in draft or review and still the above error occurs when i try to delete the payment method credit card.

I have done this in one of our legal entities , do i need to do the same for the all the legal entities and try to delete the payment method, probably not legal entity specific?

Does anyone had a similar issue or any thoughts on this issue?

Thanks
Alphonsa

Did you confirm that there are no unposted expense reports with the payment method?

Unable to delete the payment method "Credit card" in expense management module

Microsoft Dynamics does not allow the deletion of payment methods that are in use by any active or unposted expenses.

    How to Resolve the Issue:

Here’s a step-by-step guide to address this issue:

    1. Identify Unposted Expenses Linked to the Payment Method

    • You need to identify the expense reports that are still using the credit card (or payment method) you want to delete.
    • Navigate to the Expense Management module and look for any unposted expense reports that mention the credit card as the payment method.

    2. Update or Remove the Payment Method in Expense Reports

    • Once you identify the reports, open each unposted expense report and do the following:
      • Edit the payment method: Change the payment method to another valid one (e.g., "Cash" or a different credit card).
      • Save the changes: After updating the payment method in each unposted expense report, save the report.

    Steps:

    1. Go to Expense Management > Expense Reports > Unposted Expense Reports.
    2. Filter or search for reports that reference the payment method (credit card) you wish to delete.
    3. Open the report, navigate to the payment method field, and update it.
    4. Save the report after the change.

    3. Post or Cancel Any Pending Expense Reports

    • If the expense reports are no longer needed, you can choose to cancel the reports.
    • If the reports are still valid but just unposted, you can also submit and post the expense reports after changing the payment method.
    • This will release the payment method from being referenced by any open transactions.

    4. Delete the Payment Method

    • After updating the payment method in all unposted expenses or posting/cancelling those reports, attempt to delete the payment method again.
    • The system should now allow you to remove it since there will be no pending expenses referencing it.

    5. Review for Any Other Dependencies

    • Ensure that the payment method isn’t used by any employee profiles as their default payment method. You may need to update their payment settings as well if that’s the case.

    Recap of Steps:

    1. Find the unposted expense reports that are using the credit card payment method.
    2. Change the payment method in those reports to another valid method.
    3. Post or cancel the pending expense reports.
    4. Delete the credit card payment method after clearing its references.

    Hi AS,

That is similar for everyone, once deleting the payment method with existing related transactions.

If your payment method is just created and having existing unposted expense reports in the All expense reports form. Then you just delete these transactions after then you can delete your payment method credit card.
