CRM Sales - How to bulk upload changes to BPF or "active stage"

Posted on by 28
Hello!

I am trying to migrate a large amount of opportunities from an old database into Dynamics. For the most part this has been super easy with excel exports/imports, but I am unable to transfer the active stage or whatever field the BFP is linked to on the back end.

I am able to pull of a view of our opportunities and the associated stage they sit in, and I can also export this list to excel. But there is no option to import from this view. The opportunities table does not allow you to add the /Active Stage/ field either since it's from a different table (Opportunity Sales Process table in my case). When looking at the /Active Stage/ view like I have below, there is no import option to upload changes.

While I am willing to try some basic JavaScript to change all these via code... I would prefer a more general user friendly approach if it's possible. I'm not using anything like XRMtools at the moment.

A lot of solutions I'm finding are from years ago in the old UI, and it hasn't been much help since a lot of those resources within Dynamics are now deprecated (ex: active stage ID). Is there something I'm missing? Surely there is a simple way to do this, but maybe not by design.

Any thoughts or direction is super appreciated!

    Hello Everyone,

I resolved my issue by downloading the XRMToolbox and using a tool called, "BPF Manager." It was super easy to use and allowed me to update the stage/BPF of multiple entities in seconds.

    Hi,

    Answer updated October 16, 2023

First of all, I am very sorry for some of the errors in my last answer.
After our testing, if either you import Opportunity or import Opportunity and Opportunity Sales Process, the Activity Stage in the Opportunity Sales Process entity is set to qualify stage, which may be the default value for this lookup field.

To resolve this issue, you will also need the following steps.
Step4, go to Power Apps backend, make sure the data has been imported, and then delete the records that have been imported by Opportunity Sales Process (I'm clearing the table directly here because it's a test environment)

Then you can export /Opportunity Sales Process/ entity, import the target entity, specific reference to the last answer Step1, 2, 3. you will find /Activity Stage/ is imported normally.

In short: Export /Opportunity/ and /Opportunity Sales Process/ from the original environment -> Import into the target environment and make sure the entities have been imported -> Delete the imported data from the /Opportunity Sales Process/ entities in the target environment -> Import /Opportunity Sales Process/ entities from the original environment. Opportunity Sales Process/ entity from the original environment to the target environment.

Finally, we strongly recommend you to backup your data when performing database related operations to avoid serious damage.

I hope my answer is helpful to you! If you have any other questions, please feel free to contact me.

    Best Regards,
    Rudy Zhang

    Hi,

Have you tried exporting data from /Opportunity/ and /Opportunity Sales Process/ and importing it into a new environment?

Here are the simple steps for exporting and importing data using Configuration Migration Tool
    Step1, Export the required architecture.

    Step2: Export the data

Step3: Import the data into the new environment.
