Certificate of compliance - Print with delivery to the customer

Hello!

I have the requirement in AX 2012 R3 CU13 to attach a certificate of compliance for a certain product, whenever it is delivered to a certain customers.

I have found the compliance area with some functionality in the released product details, especially the safety data sheet seems to be a proper tool for that purpose. Furthermore there are two check boxes in the packing slip posting form:

1. Prevent sales pack slip/invoice posting

2. Print safety data sheet

Both Parameters are checked, but nothing happens in the example that I have set up. I can still post the packing slip and my safety data sheet document that I have assigned to the release product is not printed.

Is there any kind of documentation or has somebody had the same requirement and can share how this needs to be setup to work properly?

Any kind of help is greatly appreciated.

Best Regards

Juergen

    Hello Nataliia,

Thank you very much for the additional information. It was very helpful!

Unfortunately it seems that you are right and document templates do not work if you try to attach such a template directly to a safety data sheet in the corresponding safety data sheet form.
It simply does not create a word file and I guess that is one step too smart for that functionality.

What however worked was to create a document template and link some salesline fields with bookmarks in the template and then create an attachment directly with the sales order line.
Together with the setup that you receive a warning to provide the safety data sheet already at the sales order entry and then also later when you post the packing slip, I will try to suggest that kind of semi-automatic handling to my customer. Meaning that a document attachment has to be done manually at sales order line creation and then the user that gets the alert at the time the packing slip is posted, has to go to the sales oder line attachment and print the document from there (again manual).

It would have been nice if the document had remained always the same like in your scenario and only the address of the issuing company would change from time to time.

    Best Regards
    Juergen

You can attach word file to a Safety data sheet, however I am not sure that you will be able to use document templates, worth trying anyway. Here are the links on posts that describe how you can set up document management to create customized document attachments:  vsdynamicsfinance.wordpress.com/.../setup-document-management

if it won't work, you need to consider a modification.

We had a similar requirement, but in our case safety data sheet had to have a branch address from where it is shipped. It is a bit easier since the address varies only per shipping warehouse. We workaround it: our document had an empty space for the address and we used stamp with an address to fill it in after document was printed.

    Thank you very much Nataliia!

I was now able to do the setup almost in the way it is required for our application. Maybe we will need a small modification because not all customers in a Country/region should get certificates of compliance for a certain product, printed out together with the packing slip.
Our customer is not in the process industry, so they have only a few cases with some customers that require such a certificate.

But now I have a next question. For my tests I just used a simple PDF Dokument as certificate of compliance, which always has the same information on it.
However on the actual document, some variables should always be printed on the individual certificates when it is printed at the point of packing slip posting.
e.g. the Customer address, reference and order number and customer item number etc..
Therefore I would like to use a WORD document as the basis for the certificate of compliance and obtain the variables from the individual sales orders at the time of printing the document. I know that it is somehow possible, to create own customized documents (reports) like that with the document management, but I do not know the details.
Is there any documentation available how to do that or has somebody already done that for the purpose of compliance certificates?

    Thank you very much!

    Hi Juergen,

You need to setup regulated product list, add an item to this list and assign safety data sheet to it. Also you need to set Product compliance parameters in Inventory and warehouse management.  Here are the links with additional details: https://blogs.msdn.microsoft.com/aksheygupta/2012/08/03/managing-compliance-with-process-manufacturing-in-dynamics-ax2012/
