Contacts who have not been in contact for a period of time

Posted on by 433

Hi,

For the purposes of GDPR. We need to find a list of Contacts who have an Opportunity but who have not contacted our company for the last 3 years then remove them from the system.

Is there any straightforward way of finding these Contacts? I have looked at a few posts but it does not look particularly easy to do using Advanced Find. Should I be searching for Email activities created on or before May 2018?

Thanks a lot

Ted

    Ted,

Are you looking for Activities that are related to contact or to opportunity?

    Hi Andrew,

Thanks. Had another look at the Advanced find and this is what I have used. Its definitely still not correct as I have gone into some of the COntacts and can see they have activities in their timeline from after the date specified.

    Thanks

    Ted,

Screenshot is worth 100 words. Just post the screenshot of advanced find it in the reply - use "Use Rich Formatting" to add it.

    HI Andrew,

Thanks for your response. Yes I agree, Part 1 is easy, no problems there. The problem is Im not sure of the difference between Activites (Regarding) or Activity Parties. I have just done a quick advanced find for Contacts with an Opportunity, Activities Regarding-Contains Data, and Date Created, on or before May 2018. The number of Contacts it has returned appears to be very small. We have approx 35,000 Contacts in our CRM, I know there has to be at least 3 or 4 thousand that havent been in contact for 3 years yet it has only returned 246.

    Thanks

    Ted

    Hello,

There is an easy but not straightforward way for you - marketing lists.

    1. Create a static marketing list with "Contact" type members.

    2. Add contacts to the created marketing list using advanced find query like "Contacts who have an Opportunity" - that should be easy enough.

    3. Remove contacts from the marketing list using advanced find query like "Contacts who have an activity for last 3 years" - there is a chance it won't be straight forward but it's doable anyway.

As a result that marketing list will contain all contacts you need.

Feel free to get in touch if you have any issues.
