Impact of Changing Account Structure

Dear Experts,

My company has decided to change the account structure as per 01 March 2018. The account structure is completely different from the old one. The problem is there are transactions occurred between 1 January 2018 to 28 February 2018 which are still using old account structure. I have no issue for all transactions based on General Ledger journal. I simply create reversal journal (manually) while still using old account structure and then create new journal using new account structure (I got solution from link: https://community.dynamics.com/ax/f/33/t/274712).

But, I still don't know what to do for Sub Ledger transactions. For example, I have 80 free text invoices that still use old account structure. Some of them already settled and the rest of it is posted but not settled yet. What should I do?

changing account structure mid-flight needs a lot of care.

As accounts structure are point in activation, while settling open free text invoices, your new structure (if active) would be enforced and you would need ensure it follows. For time being you may consider being relax and inclusive of old structure before going full speed on new one.

Hello,

Well it happened with us once where we changed the Acc Str and there was open invoices, when we tried to close those invoices an error occurred saying that the Acc Str is not valid because AX expects to find the same structure for Vendor/Customer and reverse it.

- You either need to cancel all pending open transaction, or keep the old one for those accounts to close them all.

- This is critical situation, you can also fix the errors when they are generated example when settling an invoice you may need to deactivate the new Str and activate the old one. ( try to do this scenario on a Test environment to see what you going to face in the future)

I have changed structures many times. Rahul is correct. Carefully.

You should be on the latest upgrade patch of CU13 and HF packs, or you can have serious issues with open Purchase Orders. CU13 fixes the main problems.

I am about to do a massive structure change and my process is:

Edit the current structure/s but add all new dimensions and "All Values" onto of that existing structure if possible. This will allow you to make controlled Journals for Audit adjustments of any last year entries, control your issue of the Open Free Text Invoices or if you have not made the change on Day one of the new FY, make adjustments to this years Old structure postings.

Add New Structure and deploy to Company. use this new structure...

You just have to Switch between the two Structures, but in a very controlled way. where normal users cannot Post, then Post those open FTI or PO or transactions as a batch quickly, then revert back to the new structure and allow normal use.
