Hi,

We are on GP 18.4.1436 and observer strange behavior of emails. Sending of invoices works fine, however emailing of other reports (like GL trial balance) works sporadically. 

It works fine for SA when I use my windows credentials to login to Exchange (Office 365) but I cannot login to Exchange when I login to GP as different user.

It seems there is a link somewhere between GP user and Windows credentials that work for one user (SA) but do not work for another GP user. What's up with that?

    Thank you for your help, Derek.

    I used GL Trial Balance as an example so we can replicate an issue. In reality, the report in questions is the Exception report that pops up automatically, after we email invoices to customers. Emailing this report to responsible users helps us streamline the billing process. 

    We can certainly print to the screen, save the report and email it that way, that is a bit clumsy. Is there a way to automate the emailing of this Exception report?

    The 'Send to' buttons, to include both 'Mail Recipient (Text)' and 'Mail Recipient (PDF)' no longer work when Modern Authentication is enabled in Dynamics GP as those buttons do not have the functionality behind them to do so.

    Instead of trying to print reports by printing them to screen and using the ‘Send To’ buttons, have the users try emailing the same reports, but using these steps, which should work:

    1. Click on Financial > Reports > Trial Balance

    2. In the report window that opens, select a report such as 'Summary' and then highlight the report option such as 'demo' and click Modify.

    3. In the report options window, click the 'E-mail Options' button and it should prompt with the 'Sign in to your account' windows for your modern auth credentials.

    4. In the ‘Email Options’ window that will open after authentication is successful, add your email address (or who you want to email the report to) in the TO:, CC:, and BCC: fields as needed. Click OK to save changes.

    5. Back in the report window, select that option again that you just did setup for and click ‘Insert’ to move it under the ‘Email or Print List’ side, then click the 'Email' button in the menu. You should see a small Progress/Generating Email window before the report and email is sent out to the addresses you specified. The report will usually show as an attachment.

         The sending email address should be the Exchange credentials entered when prompted in step #3 above.

    There are a few different options that can be used to email from Dynamics GP depending on the report, we just are not able to use the 'Send To' > 'Mail Recipient (Text)' or 'Send To' > 'Mail Recipient (PDF)'  buttons any longer, now that Modern Authentication is enabled.

    So, the behavior the users are seeing with the Send To > Mail Recipient (Text) is expected and at this point, there isn't any plans to change those buttons to use Modern Authentication.

    Hi Sonny,

    Thank you for the info.

    We do have Exchange configured and use Application (Client) ID. This works fine. We can send invoices and purchase orders.

    The issue we are having is when we try to email reports from the screen in the Text format. Looks like in this case GP calls old fashioned Exchange authentication screen and it works for some users but not others.

    Good Afternoon Oleg,

    Literally just spent the last couple of days fixing this issue.

    Here is the Microsoft article on the Multifactor-authentication setup from the Azure side and what to do on the Dynamics side after.

    Has worked for all my clients.  The missing note is to make sure the Exchange is set as the Server Type on your System Preferences form in Dynamics GP also (some people have been going back to mapi  trying to resolve the issue).

    In our scenario the user can email invoices but we fail to use other reports.

    In my test, I'm logged in to Windows as dbadmin, logged in to GP as SA and can email GL Trial Balance report as a text attachment:

    I'm prompted to enter Exchange credentials and I use my dbadmin@national....com email and password. Even though we are on modern authentication, I get old fashioned Exchange prompt.

    If I go in GP as another user, I get the same Exchange prompt, enter credentials for that user, and I even get the Compose screen, however then I get "Failed to send email" message.

    Not sure if that is a GP issue or something else.

    If all users except one or two can email via Exchange/Modern Auth successfully, especially if on an RDS server environment, we have seen where re-creating the user's profile on the server has resolved the user specific email issues.

    This is mentioned in the Dynamics GP email troubleshooting guide as well, under the 'Unknown Error' section.

    You could try logging onto the RDS server using a Windows account that is able to email successfully, login to GP as 'sa' and then when prompted for Exchange credentials, use the credentials of this one user who cannot email successfully, does it now allow them to email without issues?

     --if so, have them try again this time using the same Windows account and their own Exchange credentials, but logging into GP as their own GP user/login and then test.

       --if still successful, then it would seem to point to the Windows account as mentioned or user's profile on that server.

    Thank you for explanation.

    We are using Exchange with Modern Authentication. Trying to email standard report (GL  Trial Balance).

    It works for one GP user but not for other. Doesn't make much sense, it it is the fact.

    Not sure if that matters, we are in the Terminal Server environment.

    First question is whether you're currently using Exchange email in Dynamics GP with Modern Authentication enabled (i.e. the Application Client ID inserted into the Company Email Settings window, for each company) or are you using MAPI?

    If using Modern Authentication/Exchange, it wouldn't make too much sense that the login being used in Dynamics GP would impact whether or not you can email from GP, as we'd no longer be using the SY04920 system table which writes a record for the GP user id, Exchange email address and EWS URL for Exchange that is being used.

    With Modern Auth, we just use the SY04900 company table, which only holds the Application Client ID we used in that company to enable Modern Auth.

    I'd also verify whether or not the emails having issues are using templates or not, as they can cause other issues compared to just a basic GP report/email that is not using a template of any kind.

    Look also for any third party products being used, as those can also impact how emailing works, especially if emailing from a third-party alternate version of a GP window.
