Email Configuration Settings

Hi,

How can we ensure that Users can track appointments using Dynamics 365 & Dynamics 365 App for Outlook but at the same time MUST ensure that Emails and not being tracked.

1. Create appointments in Outlook and then Track in Dynamics 365 Using Dynamics 365 App for Outlook. This is working.

2. Create Appointments directly in Dynamics 365 and this gets synced with Outlook. This is working.

3. Emails from Dynamics 365 Sales must be blocked. This is the Query. I tried selecting by setting Incoming and Outgoing Email to None. This has a problem as it removes the Dynamics 365 App for Outlook Plugin from Microsoft Outlook automatically. This means Users can do item 1 which is Track appointments created in Outlook with Dynamics 365 using Dynamics 365 App for Outlook since the Add-in is no more visible if I set incoming and Outgoing Mial setting to None in Email configuration settings.

Please advice how I can achieve Item 3 above but also ensure Item1 and Item 2.

Hi Syed,

We will select "No email messages" for "Select the email messages to track in Microsoft Dynamics 365" in the personal settings.

There is no such setting in the system settings, only in the personal settings. So we need to set it for all users, including new users.

Please execute #1 and #2. The #3 can be executed optionally.

1. Set personal settings for existing users

We need to use User Settings Utility of XrmToolBox.

Download XrmToolBox and connect it to your D365 environment.

Install User Settings Utility, load users and select all users, change Track email messages to No email messages.

2. Set personal settings for new users

We need to use Power Automate to update the new user settings automatically.

Create such an automated cloud flow.

After we creating an flow and use User Settings Utility to set personal settings, all emails in outlook of D365 users will not be tracked to D365.

3. If you want to prevent users from changing 'Track email messages' themselves, we can use a flow to make 'Track email messages' always be 'No email messages'.

Create such an automated cloud flow.
