How to track File Created in Sharepoint Folder and notification came to MSCRM

HI Team,

My Client have a requirement that when we create any file in a particular folder called "Temporary_Folder" in SharePoint, then a notification came to CRM that file created in SharePoint Folder. We need to do this using Power Automate. Is there have any other way to achieve the same.

    HI Nilanka,

    It does not matter if the file has been uploaded through CRM or Sharepoint, it will have a folder name on the full path.

    Mentioned logic will work fine for you. Try to create a flow with it and analyze the trigger response.

    Here i am uploading file in Sharepoint Folder. Like - In Sharepoint there have Entity named Account ->

    That Account have 1 Folder Called Temporary_ACC -> This Temporary_ACC folder exists for every Accounts in Sharepoint. , thus in CRM also. When we upload a new file in any of the Accounts Temporary_ACC folder in Sharepoint then flow checks that and provide some notification to CRM.

    We upload the file in Sharepoint not in CRM.  I know this is very confising. As you are helping me , thats why trying to elaborate you the issue i am facing

    Hi Nilanka,

    With the approach I have mentioned above you don't need to check for all accounts and all folders.

    When you upload a file from CRM to an entity it will create a path like - "/account/relative_URL/file_name", in your case the full path will be like "/account/relative_URL/temp_folder_name/file_name".

    So when you will upload a file to an account entity the flow will get trigger.

    In the next step, it will check if the full path contains the folder name (if the file will be uploaded inside the Temporary folder the full path must have a folder name).

    if the condition meets, you can send the notification.

    Hi Akanksha,

    Here Temporary Folder Exists in every Accounts. So i need to search first for Account Enity and then for every Accounts there have Temporary Folder. So i have to search that all Temporary Folder for All Accounts. And then if any Temporary Folder of an Account contain any file (User uploaded that file) then CRM will have some notification.

    How to achive this.

    Hi

    Please follow the below steps.

    1- Select Flow template -  Get a push notification when a new file is added in SharePoint.

    2- Select Site Address and Entity Name. Add a condition where Full Path (Choose the dynamic component selector) contains the folder name.

    3- If it's true send the notification.

    I hope this will help you with your requirement. 

    Note: I am assuming that Temporary Folder is present in the entity SharePoint structure.

    Hi Akanksha,

    Now the Client Requirements changes, they are saying --" Suppose We have Account Entity, in that Account Entity there have multiple Accounts and each Accounts we have Temporary Folder. Its a 3 layer of hierarchy. For Example :

    Account folder

    - Account 1

    o      Temporary folder

    - Account 2

    o      Temporary folder

    - Account 3

    o      Temporary folder

    -

    So if any user add any file to that Temporary folder of any Account then Customer Should get a notification kind of thing. This notification comes in a way of modifying any custom Field value or something.

    My Challenges is right now, --> How i search that In this Accounts there have Temporary Folder , and if any Temporary Folder Contain any File. How i achieve this using Power Automate.

    Also let me know if the above criteria possible to do or not. As i am not a very known candidate of Power Automate, so Community Suggestion would be very useful.

    Based on your requirement I think the best possible solution is to use this template.

    But I am not sure how to provide the folder path dynamically, assuming you want to do it at the entity level.

    Hi Akanksha,

    Many thanks for your suggestion. I will definitely try this.

    I wanted to know that is there have any way to notify the same in CRM by making any field with 2 Option set or something so that without opening the CRM Document folder, we can easily understand that -- yes there have something uploaded in the Sharepoint Folder.

    Hi Nilanka,

    The easiest way to achieve your requirement is using Power Automate. After the creation of a file on the SharePoint folder, you can call Send an Email Notification(V3).
