Lead Creation Automatically from emails

Hii,

Need to created Leads from email from a particular date(1st August,2020) only. All prior emails should not be captured.

    Hi Mrunalini,

    In terms of this demand, there are two situations.

    1. If you need to manually convert all emails after August 1, 2020 into leads in batches, then we can use on-demand workflow to convert.

    2. If you need to set a rule, every time a new email is generated after August 1, 2020, this email will be automatically converted to lead, then we can set a Record Creation and Update Rule.


    For #1, set the on-demand workflow as follow.

    Then create a personal email view with the following filter.

    Go to the new view, select all emails and run the on-demand workflow.

    For #2, go to Settings > Service Management > Automatic Record Creation and Update Rules, new.

    Select "Create records for email from unknown senders", save it. Then new "SPECIFY RECORD CREATION AND UPDATE DETAILS".

    Enter the name, save it. Then set the condition, and add an action, select Lead.

    Save and activate it.

    I tried doing Automatic Record Creation Rule Same as you but I couldnt

    There are many emails from different contact as highlighted but i could see only 23 leads in list...Can u please help

    Hi Mrunalini,

    Are these highlighted emails received after activating the Record Creation and Update Rule?

    Are their receiving addresses the Incoming Email in LeadCreationQueue?

    Hi Hao,

    The Highlighted one are the emails which are not created after ACR rule. I dont understand the reason for not creating.

    I need all the emails to be converted as leads from 29-7-2020.

    You mean, before activating ACR rule, these emails have already been in the D365?

    If so, please use #1 create an on-demand workflow in my first reply.

    Yes they are the emails that had been in D365 already.But cann't i get them directly using ACR rules..because there are many emails

    Hi Mrunalini,

    ACR rules will only be triggered when a new email is created, it will not automatically retrieve existing emails.

    So we have to use on-demand workflow to create leads for the existing emails.

    If there are a lot of emails after 29-7-2020, then we can use XrmToolBox's "Bulk Workflow Execution" tool to run a workflow on all the records of a view at one time, which does not require many operations.

    After creating an on-demand workflow and personal view like in my first reply, download XrmToolBox at https://www.xrmtoolbox.com/

    Extract it, and open XrmToolBox.exe.

    Install "Bulk Workflow Execution".

    Connect to your D365 organization with your account.

    Open "Bulk Workflow Execution" tool, select the new on-demand worflow and select the new view, start the workflow.

    In this way, all emails of the view will be run the on-demand workflow, and these emails will be converted to leads.

    Hi Hao,

    We actually tried performing in other sandbox instance. There we see all the mails even prior to the date are also getting created as leads. Very confused with these Creation. All the rules are same as before Screenshots. In one instance only emails triggered after creation are getting created as leads. But when replicated the same in other instance every mails even prior to the date got Created as leads.

    Please help me with this.

    Hi Mrunalini,

    Because ACR rule is essentially a workflow, they need triggers, and existing emails cannot trigger workflows, so I guess that new incoming emails are synchronized to D365 and trigger this ACR rule to create leads, or another workflow is creating leads.

    You could check it in the System Jobs.

    Filter "System Job Type" to Workflow, and look for "Regarding" as emails.

    You can check if these workflows are the Record Creation and Update Rule and its SPECIFY RECORD CREATION AND UPDATE DETAILS.

    And here you can click the email and check its date, if it is an existing email or new email.
