Update a field on contact entity for a specific list of contacts

Posted on by 46
Hi,

Might help for me to explain the scenario first ..... I need to send an email to all my active contacts, including those who have “Do Not Allow Bulk Emails” set to “Do not allow” so I need to temporarily set that to “Allow”, run the marketing campaign and then set it back to /Do Not Allow/.

If I export to Excel, I can change them to “Allow” and import the data BUT I cannot use the same downloaded file to then update that same list of contacts to set it back to “Do Not Allow” (because the system will recognise that the records have been updated since they were downloaded)

I could create another advanced find to give me all the contacts who have been modified by me on that date, but the contact entity records get updated so often by users and by flows, it would not be reliable.

I could go with the idea above of using a list of all contacts modified by me on that date and set those back to Do not Allow, then compare the list of contacts who have /Do not allow/ against my original downloaded list, do a VLOOKUP to find the ones that didn’t get reset and do those manually.

Is there an easier way to do this? i.e. to re-use the original list of those who had “Do not allow” and just update the setting for those?

OR even better, is there any way to override that setting that prevents sending of bulk emails to contacts who have /Do Not Allow/ within a campaign? Then I wouldn’t have to do any updating.

Thanks in advance for any suggestions.
Lisa

    Hi,

We have analyzed your needs and believe that there is no out-of-the-box solution that will meet your needs, here is a possible alternative that we propose.

Step1, create a custom field to monitor the /Do Not Allow Bulk Emails/ field

Step2, set the condition to update the value of the monitoring field for this record when /Do Not Allow Bulk Emails/ is YES.

Step3, set /Do Not Allow Bulk Emails/ to NO to send MKT Email.

Step4, according to the value of the monitoring field of each record, determine whether these records are previously updated records, and then set /Do Not Allow Bulk Emails/ to YES.

The above solution is to directly write SQL statement to change Dataverse data, but it is quite tedious, we are still trying to use PowerAutomate, if there is any progress I will reply below.
