Rollup field based on quote unit

We sell subscription and "once off" solutions. I want to on my template show 2 fields based on "Total Once-off / Setup Costs" and "Total Recurring Costs" - The logical solution would be to have a rollup field that calculates according to the unit. If the unit name == services and unit name == subscriptions - When I however try to create a rollup field with source entity Quote and Related Entity "Unit", I am only given an option "does contain data" or "does not contain data". I cannot choose the condition in which the data == "services"

    If you use "Does not contains data" you cannot add nothing else, because there are no data to be used.
     
    It should be "Contains data" and then you can use the filter you want.

    Creating a rollup field in Dynamics CRM gives a specific type of filter options, different than what is available in an Advanced Find type query. It is much more limited, and one of the things it won't let you do is define a specific value for a lookup field to be checked against.
     
    To achieve your goal, you'll likely want to do this in two steps to get around the limitation without writing code. 
     
    • Create a formula or calculated field called [Item Unit] on the Quote Line Item table. Set it to be a string field that is the name of the unit on the record
      • Note: A formula/calculated field here is beneficial because we won't have to write a workflow or anything to populate the field
    • Now point your rollup field to this new string field, and you should be able to check against the string value in the field

    Use Power Automate to:
    1. Trigger on Quote Line create/update.
    2. Check the Unit Name (e.g. "services" or "subscriptions").
    3. Update custom fields on the related Quote:
      • Add to "Total Once-off / Setup Costs" if Unit = services.
      • Add to "Total Recurring Costs" if Unit = subscriptions.
    This bypasses rollup field limitations and lets you handle logic based on Unit Name directly.
