Document handling issue

Hello All

we

We are using AX2012 R2CU7 and we use file share to host all the attachments. I have two questions

Question one

I assume AX would use AOS service account or business connector proxy account to upload file attachment, but I have to grant everyone permission to the file share folder, other wise users can not load attachment.   is it right?

Question two

Financial department users want to keep the attachment the same name conversion for them to easy track.

when they create a journal (for example GLBT00088), the attachment file(back up) should be GLBT00088.pdf ,

The problem is later they find the back up file missed something, they need to attach the new backup file but keep the same name.  so they delete the previous file, then attach the new file, they both have the same name, but AX does not upload the new file.  in the file share location, it still keeps the old backup file. is it a bug?

    Question one: you are correct

    Question two: this could be a permission issue. make sure that your service account has full control and the user group or user account has modify permissions on the shared folder.

    For questions two, All the users have full control permission . still the same issue

    In Organization administrator, go to setup, document management, document type.

    There find the Type your using for attachments. for example we use Type File for attachments.

    Click on the Type and on the right screen, you will see Document removal options. Make sure for remove, Document and physical file is selected. This will remove the old file from the share and will allow the same file name to be reloaded.

    I tried the way you mentioned. If I grant the user Delete permission then the file will be removed.

    Actually I can not grant the user Delete permission, since they know the file share place, the user can delete all the attachment by mistake.

    Unfortunately, that is the way it would works when using a file share to store the information.
