How to manage library books in AX?

Hi,

I am very new to inventory management. We have a library. We are purchasing huge books in a year. How to mange this book items in our inventory system?

Do we need to create item for each book?

Could you please suggest how to implement?

    Hi Hariharan S,

    I assume that you 'rent' out the books to the users of the library and need to track the person who currently borrowed the book, when the person has to return it, etc.

    Those things (processes) typically require a customization or add-on.

    You can try incorporating those processes in the standard application but I believe it would be better working with a specialized 'rental' AX add-on product.

    Please checkout the app source and the MS Dynamics world site that has an ISV table available (msdynamicsworld.com/product_spotlight)

    Hi Ludwig,

    Thanks for your reply. We have separate software for library management (Oliver). So, we won't handle renting the book in AX.

    Hello Hari,

    Good to hear that you already have something.

    About your inventory: I would expect to see every book in AX possibly with a Serial number Control for tracking purposes.

    Question: About how many books do we talk about approximately?

    Yearly we purchase 500 - 1000 books.

    Hello Hari,

    If you setup separate products for each book in AX then I do not see an issue in regards to processing and/or performance with 500-1000 books a year.

    What you have to clarify though is the interface between your third party software (Oliver) and AX. How do they talk to each other and what information needs to be exchanged. This seems to be the hardest task to resolve in this context.

    As of now we are not going to do any data exchange betwen AX and library system.

    But, the problem is the user will buy the product only one time rarely they will buy again. So, It is really hard to create a product for each book before purchase order.

    Thanks Andrew & Ludwig. As Ludwig mentioned I could try to use product serial number. So, the user can enter the ISBN number in the serial number text box. I believe if I use serial number, the standard inventory related report will help me for serial wise report.

    I made a mistake here, we are not going to use this library books for selling purpose. I believe it is asset to us. We need to process the depreciation also.

    The item can be treated as asset. Please let me know if i am in the wrong track.

    Hi,

    There is no direct FA integration for items other than the 'item to fixed asset journal', which does not help you because you need the items in your inventory and not take them out.

    If you want to track depreciation costs for your items that you rent out then you need a specialized add-on. The standard solution can currently not handle that.
