Tax Identification Number concern

Hi,

I would like to create a NEW Legal Entity named ROCK D.  In line with this, I will need to add a Tax Identification Number (TIN) to it.  Now, AX won't allow me since ROCK D (entity) is a vendor of ROCK A (entity) with the same address and TIN.

Can anyone help me go through this?

I am aware that you cannot enter same TIN for same address.  Also, that I can't merge the ROCK D entity to the ROCK D vendor.

    Which country is this related to? Do you have a screenshot with the exact error message?

    Hi Andre,

    This is for PHL country. Please see the screenshot as attached.  This appears when I input the registration number under Tax registration tab in Legal entity > Taxes > Manage addresses (form).

    To give you a background:

    1. Legal Entity (LE) Rock A has Vendor named ROCK D with Tax Identification Number (TIN) and country is PHL.

    2. We have created a new LE named ROCK D with the same TIN and country as the vendor in #1. (A vendor had become a LE)

    The problem, AX is preventing us from adding the same TIN since it has been used already in LE ROCK A's ROCK D Vendor.

    How can we proceed then?

    Hi Edmond,

    I'm not familiar with the TIN. This might be related to a localization for PHL. What you can try to do is the following:

    - Create a new legal entity without the TIN (or temporarily another TIN).

    - Go to Common > Global address book and search on the name for the records related to the vendor and the legal entity. Now try to merge the GAB records to have a single entry for this party where it will have a vendor and a legal entity. I don't know if the TIN is maintained on Global address book level or another level where it could check for duplicates.

    Hi Andre,

    I have tried this beforehand and got this infolog error below.

    I have tried merging both Vendor ROCK D (from ROCK A) and LE ROCK D but it was unsuccessful.  I made sure that they have different TIN this time.

    Do you have any work around on this?  Or is there something I have missed?

    Hi Edmond,

    You can try to go to the vendor record and then change the party association to be the same as the new created legal entity as work around.

    I had also written this in my book related to merging GAB entries. See below:

    Internal party organizations

    It is not possible to do a merge with internal party organizations. Legal entities, teams or operation units cannot be merged. One of the reasons is that you can have defined organization hierarchies. If you have an organization hierarchy with e.g. business units, the records to be merges could be both part of a current, past or future hierarchy. Merging would cause a duplicate reference in the hierarchy which is not allowed in standard Microsoft Dynamics AX.

    Suppose you have a legal entity Contoso Retail USA and also a party with the same name used as customer, you will receive the next error while the merge is being validated. “Internal organization party records cannot be merged.”

    Workaround

    To work around this validation, you can perform the next steps. In this example we will solve it for the customer Contoso Retail USA.

    1.       Navigate to Accounts receivable > Common > Customers > All customers.

    2.       Find the customer with the name Contoso Retail USA.

    3.       Click Edit or double click the row with this name in the list page to open the Customer details.

    4.       Click the button Change party association which can be found on the General tab page.

    5.       Find and select the New party record. In this example it will be Contoso Retail USA.

    6.       Click the Select button.

    7.       When you are back on the Change party association form, review the party name and number.

    8.       Click OK to change the party association.

    The customer will now be linked to another party. Note that addresses are linked to a party. If the addresses were different, the customer will have a new address. You can create multiple addresses on a party. Per legal entity you can set a different default address.

    Using this procedure will not merge all related records in the various tables like the merge feature does. Check if there are e.g. addresses or activities related to the party which needs to be moved or deleted before executing this procedure.

    Hi Andre,

    I really appreciate the effort.  I have tried your suggestion but it still have not worked for me.  It might really be a localization limitation that I need to figure out how.

    I arrived at the solution by doing the following (influenced by technet and thru Andre's information):

    I deleted the TIN on the Vendor A/Customer A side of LE 1 then re-enter the same TIN in LE 2.  Afterwards, go to the specific Vendor A/Customer A then change the party association and link it with LE 2.

    Now each of LE 2, Vendor A LE 1 and Customer A LE 1 shares the same TIN.  Perfect!
