Serial numbers in AX

Hi All,

I'm new to AX but has been working with business solutions. The serial number thing in AX is some wut confusing for me..in my scenario we are Networking Equipment and Services Company. We provide Hardware and Services to our cutomers. Most of the hardwares come with warrenty which can be tracked based on its serial number. In our scenario the same equipment may be received, Issued, received again (due to customer return/Warrenty claim and any reason) and re Issued. Can anyone please explain the working of serial numbers in AX with respect to the given scenario..

OR if anyone could compare the working of serial numbers in AX with Peach Tree Accounting, that would be gr8 for me to understand

 Regards,

Mohammad Ali

A serial number is an optional/mandatory inventory dimension that can be included on inventory transactions (purchase orders, sales orders, service orders and production orders-

You can then make enquiries or use handy "trace" tool to trace the serial number of the hardware item throughout its useful life- perhaps accounting for the original acqusition of the hardware from a supplier on the PO, the resale to the customer on the SO, any servicing or rework the Production/Service modules and the eventual disposal of the hardware using a inventory journal.

Hi, from what I understand, AX 2012 doesn't allow us to generate serial number of the Finished Good Item before start of the production order but at the RAF stage. Is it possible to assign serial number to items that are going to be manufactured in AX 2012 ?

You can generate them in advance. AX would do this through the serial number group, but you can still create these in advance using the update registrations screen manually. There is no dictate to only create them at RAF - but that is where it will insist on it being defined depending upon the dimension group configuration.

We provide Hardware and Services to our cutomers -> did your manufacture them or just buy and sell them.

if you produce them the best is to transfer the serial number generated by Ax to your labelling system and generate the serial number when the product order is complete.

If you just buy it , the best is to get the S/N from your vendor in an eletronic way ( webservices , flat file) and make the reception of purchase order with this serial number.

Once the serial number has been associated with the stock reception it will follow in all the future transactions for this stock.

Hi,  we track by site/warehouse - both physical and financial and location as a storage dim; no product dimension group;  serial control and tracking (but no physical/financial).  We have few items that we manufacture/assemble for which we need to create/assign serial numbers on the sales packing slips.  In our shop-floor, we first create serial number before we start the production work.  Likewise, we want to assign the serial number before the item is produced in AX. i.e.  through Production Order.

say we complete two items in the shop floor, could we be able to pack-slip those items in AX? i.e. do we partially complete the production order so that these items are packing slipped?

Update registration screen -- from where it can be accessed?

    thanks a lot

Yes. we assemble/manufacture them.  We don't want to put serial number for raw material only for the finished Goods that we assemble/manufacture

no, we want to transfer the S/L generated by shop-floor system in AX  - also we need to be able to packing slip items as they are produced in the shop-floor.   that may mean that the production order is not complete in AX!

is this possible?  if so, how?

Yes it is possible to not complete the order in AX. On the RAF journal only select the "end job" flag on the last completion against the works order. There is nothing stopping partial receipt and posting packing slip.

Update registrations is on the production order, on the ribbon bar under stock and hit >>. If you were to update this with 2 serial numbers and RAF 2 complete it would take the posted serial numbers.

Hi Mohammad, I don't know Peach Tree, but have some AX knowlege. When Item details records are created in AX, they are associated to a Dimension group, which defines the item and storage dimensions, inlcuding Serial number. This serial number can be defined so that only a quantity of one for the serial number can be in on hand inventory at any time.

When the item is pruchased, its serial number will be recorded during receipts for a quantity of 1 onhand. When sold/shipped you will specify the serial number of the unit during packing slip update of the sales order and the onhand quantity for that serial number will now be zero.

When returned for service using a return order with an RMA, the serial number is again recorded during receipt, and when the repaired unit is shipped out again, the serial number is recorded during the packing slip update.

The above process will insure that a quantity of one for any given serial number for the item records can be "on hand" at any given time.

Usually a service item is setup for any billable service work during a repair process. The service item can be billed to the Vendor that supplied the equipment if the repair is warranty or billed to the customer if the repair is out of warranty.

Thanks a lot for your feedback. I will try to your approach and see if this would work for us. its good to know that we can a) create serial number ahead of time b) RAF 2 items that AX will take the serial numbers as updated in step a.

    thanks again

To Beeler ( and All).  I'm very new to the AX environment and my new firm is running AX 4.  We are currently using serialization and have found it to be a constraint relative to internal tracking/inventory transaction maintenance.  With all this in place we'd like to backout and move to JUST tracking the serialized item from time of shipment to the customer and potential RMA's/Recalls/RMA's.  ANy suggestions thoughts?  Additionally can anyone tell me it they have experience with serializing pallets AND having the ability to see all items on the pallet (item and associated serial #) while making inventory moves at the pallet level, i.e. one pallet/one pallet serial but inventory/fin accounting for all palletized items on that pallet)?  Thanks, any and all input welcome.
