Help with Stock Checks and AX 2009

Hi Guys,

We can do stock checks every month and still by the next month our stock is out and we cant work out why, Our BOM are very complex so 1 top level works order can have many sub orders, The question I have is what it the best way to carry out a stock check.

Do we have to END all Works orders, What do other people do who have complex Works orders, We would never be able to end all works orders.

its driving us crazy, What would be the normal process before starting a stock check.

    Stock checks are mostly about control and the flow of materials. So ignoring AX you need to understand the movement of stock for your works orders - what is taken when and how. You will have multi-level orders all progressing towards a final item - anything being made is probably WIP, however you may have sub-levels that are stock, and it is identifying these first - where are they booked into stock and controlled because you want to avoid counting the WIP line side storage if possible. Then you have the components, if you are back flushing from stock when are you actually moving them out of the stores - clearly if this is a long process and you back flush the item could be out of stores on Monday and not back-flushed for a month. There maybe considerations on whether you can back-flush or not. This is the one that causes most issues because you take the stock and consume it later, which means you may want to move this to a line side WIP store prior to consumption and not count it.

    Once you understand the flow of material, and the configuration of AX to remove it you can hopefully control the count and segregate counting areas better.

    Hi Steve,

    Thanks for you reply it makes interesting reading, We have had AX running for over a year now. We release a works order which has many sub level parts all going different routs, These use raw material items that are WIP which make sub level items, These can take months until they are scanned as finished and the final item is produced.

    Do we have to end all works orders do you think as its so hard to count these in WIP, Also sales orders do we have to close these, It would be so difficult we also have open dispatches.

    I am going to have a meeting tomorrow to go through how we handle the full process outside of AX however I am expecting people blaming AX.

    The company does not have any great physical control over the stock, Just hope I can convince them its this bad practice.

    The sales orders are not relevant - unless you pick them and ship them but leave them in the warehouse!

    It is the control of the component stock that is key initially. If you consume it in AX you must not count it, so it has to be segregated. If you move it to a physical WIP location and have not consumed it in production you must count it. Here is the tricky one - if you have used it in a WIP item so it is not independent, but you have not consumed it in AX then you have to count it.

    All about knowing where your stock is, how this is reflected in AX and then what to count and what not to count.

    All of the controls of this are technically outside of any ERP system, but you need to understand how the ERP stock checks and holds stock to align the processes and segregate stock.

    Simple example, if you receive in stock on your ERP system but leave it in a receiving dock and don't count it there will be a discrepancy.

    Map the processes outside of AX first, then understand how you consume and handle WIP components in AX and then define how you count.
