Vendor ID

Currently in use for vendor ID is first four letters of the company name followed by the zip code.  This is tedious and leads to duplicates with no real solution.

Ruth Smith - 08034 Ron Smith - 08034 both come out to SMIT08034, how do you differentiate?  

I wanted to convert our vendor ID's to numerical ID's.  Using the tax ID number as an assurance that there are no duplicates.  Each vendor would have a different number and this information would have to be filled out in order to enter the vendor.  Has anyone done this and is Microsoft Dynamics capable?

    I have done this dozens of times for my clients and highly recommend the following:

    1) Purchase a Dynamics SL add-on product called KeyChange (your reseller will be able to provide pricing for you on this, it's not too expensive). KeyChange allows you to make changes to "ID's", such as GL account & subaccount number, Vendor & Customer ID's, etc.  If you're updating the Vendor ID from one value to another, KeyChange will go thru the entire database and update that field in every applicable table.

    2) I would go with an alpha-numeric Vendor ID. The Vendor ID can be 10 characters, and I would use them all if need-be.  I would suggest using the final 2 or 3 characters as a numeric increment, , such as SMITH001 ,SMITH002, etc.  This comes in handy with vendors such as "Verizon", where you may have multiple offices with multiple phone accounts and multiple billing addresses for those accounts.  I have often seen this situation, and using a scheme of "VERIZON001", "VERIZON002", "VERIZON003" can be very helpful. What I've also seen in these situations is that the primary name of the vendor may be amended to include a unique factor for each vendor. In the Verizon example, you may add the Zip Code or the Verizon Account Number to the Vendor Name.  This wouldn't be used on the Remittance Name. In this example you may have the Vendor Name "Verizon Wireless A/C 12345678" and the Remittance Name "Verizon Wireless".

    Thanks John!  I will look into KeyChange and see if my supervisor is aware.  I will incorporate your answer in my presentation for the change over to numeric vendor ID's.  I appreciate your input about the vendor ID's, too.
